Janzen Ag and Auto is looking for a friendly, organized, and dependable Front Desk Receptionist / Service Administrator to join our team at our mechanic shop.
This is a key position within our service department. You will be the first point of contact for customers and will help keep the front office, service calls, billing, and day-to-day administration running smoothly.
Key Responsibilities Greet customers and provide friendly, professional front-desk service
Answer incoming phone calls, respond to customer inquiries, and direct calls to the appropriate staff
Organize and schedule service calls, appointments, and technician work
Create, maintain, and update customer and service records
Prepare work orders, invoices, estimates, and other service-related documentation
Complete customer billing and process payments
Manage accounts receivable, including customer accounts, statements, and follow-up on outstanding balances
Manage accounts payable, including entering invoices, organizing payments, and maintaining vendor records
Assist with general bookkeeping and administrative duties
Process parts and service invoices and ensure information is accurately entered into the appropriate systems
Communicate with technicians, customers, and suppliers to coordinate work
Monitor incoming and outgoing paperwork and ensure records are properly organized
Assist with month-end administrative and accounting procedures
Handle general office duties, filing, data entry, email correspondence, and other administrative tasks as required
Provide support to the service department and management as needed




Qualifications & Requirements Previous experience in a receptionist, administrative, accounting, or similar role is an asset
Strong organizational skills and attention to detail
Excellent communication and customer service skills
Comfortable answering phones and dealing with customers in a professional manner
Ability to multitask and prioritize in a busy shop environment
Strong computer skills and experience with Mitchell 1 and Quickbooks software is an asset
Basic understanding of accounts payable and accounts receivable
Strong written and verbal communication skills
Ability to work independently while also being a team player
Dependable, punctual, and willing to take initiative
Previous experience in an agricultural, automotive, equipment, or mechanical environment is an asset, but not required

You will need to be comfortable switching between customer service, phone calls, paperwork, billing, and accounting tasks throughout the day.
A positive attitude, willingness to learn, and strong attention to detail are just as important to us as previous experience.
