Position Summary
The Member Services & Reception Coordinator serves as the first point of contact for members, volunteers, and visitors, creating a welcoming, compassionate, and professional experience. The position coordinates intake, reception, administrative functions, and practical support services while providing hands‑on assistance with organizational programs. Responsibilities include a combination of front-desk administration, member engagement, and active participation in program delivery to ensure individuals and families are connected to programs and resources while supporting the effective day-to-day operation of the Centre.
Key Responsibilities
Member Services
Welcome members, volunteers, donors, and visitors while providing professional, compassionate, and responsive front-line service.
Manage member intake, registrations, inquiries, and member records.
Support members in accessing organizational programs, services, and appropriate community resources.
Coordinate and administer practical member support services, including the Birthday Program, Clothing Room, Market Day, and other member assistance initiatives.
Coordinate annual support campaigns for members, including the Holiday Hamper and Back to School campaigns.
Maintain positive relationships with members while applying organizational policies consistently, fairly, and compassionately.
Reception & Administrative Support
Provide reception and front-office administrative support, including answering telephones, responding to and directing emails, receiving deliveries, and managing general inquiries.
Maintain member databases, administrative records, filing systems, and confidential documentation.
Prepare monthly statistics, reports,
correspondence, and administrative documentation to support organizational operations and reporting.
Monitor and maintain office, reception, and member service supplies while supporting the day-to‑day organization of shared administrative spaces.
Program Support
Provide administrative and logistical support for organizational programs, workshops, events, and group activities led by other staff members, as assigned.
Other Duties
Perform other related duties as assigned.
Qualifications
Education or training in office administration, community services, social services, or a related field, with one to two years of related experience, or an equivalent combination of education, training, and experience.
Skills & Abilities
Experience providing front-line member, client, or customer service in a community-based or nonprofit environment.
Strong interpersonal and communication skills with the ability to provide respectful, compassionate, and skilled service.
Experience with reception, member intake, administrative records, databases, and confidential documentation.
Ability to manage competing priorities, adapt to changing demands, and transition effectively between front-line member service, administrative responsibilities, and program support.
Ability to respond calmly and appropriately to sensitive situations and emerging member needs.
Strong attention to detail and commitment to maintaining accurate records and information.
Ability to work collaboratively as part of a team while also working independently within assigned responsibilities.
Proficiency with Microsoft Office, Keela or similar CRM, and the ability to learn organizational databases and other business software.
Demonstrated commitment to confidentiality, professionalism, discretion, inclusion, and respectful service delivery.
Operational Requirements
This position is based at the 1Up Victoria Single Parent Resource Centre office and involves a combination of front-desk reception, administrative responsibilities, and the coordination and delivery of member services. The role requires regular movement throughout the Centre, including room set‑up, organizational programs, Market Day, the Clothing Room, and other practical support initiatives. Regular in-person availability during scheduled hours is required. Occasional schedule flexibility may be required to support evening or weekend organizational programs and events. A valid Class 5 driver's licence and access to a reliable personal vehicle are required. The employee may occasionally be required to travel locally to support organizational operations and service delivery. Approved business travel will be reimbursed in accordance with the organization’s mileage reimbursement policy.
Compensation
Compensation for this position is $25.00 per hour based on a regular schedule of 20 hours per week. The position is eligible for the organization’s benefits program in accordance with organizational policy.
