Position Summary Temporary Full-Time Appendix D Support Staff, replacement contract position (Immediate need – January 24, 2027)
The Admissions Officer is responsible for the full scope of the admissions process for international students into post-secondary programs.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement, Monday to Friday, 8:30 a.m. to 4:30 p.m., with four days on-site at the Doon campus located at 299 Doon Valley Dr. in Kitchener, and one day remote.
Responsibilities International enrolment program management
Manages an assigned portfolio of programs and admits qualified applicants to support the College's international enrolment plan
Ensures applicants have met the Ministry and College admission requirements
Verifies, assesses and interprets international credentials, including transcripts and other admission-related documents
Implements and maintains a ranking criteria spreadsheet for select programs to ensure the highest quality of students
Generates letters of acceptance, including deferrals, and conditional letters
Increases enrolment in undersubscribed programs by liaising with the International Recruitment and Marketing
Requests re-admission after Conestoga students voluntarily withdraw or discontinue studies from their program; determines which program level is suitable for re-entry
Receives and follows up on admission-related problems with individual applicants and determines appropriate solutions in accordance with the strategic enrolment plan
Generates a list of deferral requests through the IAS (OCAS) portal and actions accordingly, such as withdrawing students from the current intake, loading current program applications, issuing new letters of acceptance, etc.
Provides alternate program options and recommendations should deferral be denied
Organizes and delivers presentations to students in existing programs to facilitate second-program admission and follows up after presentations to answer questions and encourage application to a second program
Based on analysis of statistical information, recommends program closures or re-openings
Stakeholder communication
Receives and responds to telephone, written, in-person, and electronic enquiries on programs and admission requirements; responds to student, agent, and recruiter complaints
Provides a variety of program information to students, agents, and recruiters, including tuition and fees information, practicum requirements, and other admission-related information
Coordinates mandatory information sessions for international applicants; provides turnaround documents to facilitate student interviews with faculty, Coordinators, Chairs, and Deans
Qualifications Two-year diploma in Business,
Office Administration, Education, or a related field
Three years of practical experience in student/client services and experience working with multiple large database systems and diverse clientele, including newcomers to Canada, new Canadians and international students
Excellent oral and written communication skills, listening skills, organizational skills and multi-tasking abilities; excellent computer skills
Ability to work both independently and in a team environment
Knowledge of College and Citizenship and Immigration Canada regulations for the purposes of individuals seeking to further their education in Canada
Effective time management skills; demonstrated ability to work under pressure and in demanding situations
Highly developed client service skills and ability to respond and problem-solve with tact, diplomacy, discretion and professionalism
Compassion and ability to determine when flexibility can and should be exercised
Demonstrate patience and appreciation for cultural differences
