This role is responsible for managing site-based administrative functions and payroll coordination to ensure accurate workforce records, timely payroll processing, and compliance with project and client requirements. The position plays a critical role in supporting site operations, workforce logistics, and reporting.Skills and responsibilitiesResponsibilitiesPayroll CoordinationCollect, verify, and process timesheets for site personnel in alignment with project schedules and rotation cycles (14/7, 14/14).Ensure accurate coding of hours, overtime, allowances, and project-specific pay rules.Coordinate with HR and Payroll teams to ensure timely submission and issue resolution.Maintain payroll records in compliance with company and client requirements.Site AdministrationManage onboarding documentation including orientation records, certifications, and site access requirements.Maintain personnel records, training matrices,
and site tracking logs.Coordinate travel logistics, camp accommodations, and rotation scheduling.Provide administrative support to site leadership and department teams.Reporting & DocumentationGenerate weekly workforce reports including headcount, rotation tracking, and payroll summaries.Maintain accurate filing systems for project documentation (digital and physical).Support audit readiness for payroll and workforce compliance.Interface & CoordinationLiaise with HR, Payroll, Project Controls, and Site Management teams.Support workforce planning and mobilization activities.Assist with resolving employee inquiries related to payroll, rotations, and site logistics.Your knowledge/skills, education, and experienceKnowledge / Qualification / Training / CertificationDiploma or certificate in Business Administration, Accounting, or related field preferred.5+ years of experience in site administration and/or payroll coordination in industrial or construction environments, with a preference for candidates with FIFO project experience.Strong knowledge of payroll systems, timekeeping processes, and workforce coordination.Proficiency in MS Office (Excel, Word, Outlook).Experience with workforce tracking systems and site logistics coordination.CommunicationStrong written and verbal communication skills.Ability to work with cross-functional teams in a fast-paced site environment.Behavior/Core CompetenciesHigh attention to detail and accuracy.Strong organizational and multitasking abilities.Confidentiality and professionalism in handling sensitive information.HSSEQThe Employee shall observe the Health, Safety, Sustainability, Environment and Quality rules.Details about the roleLocation: Kearl Site, Fort McKay, AlbertaRotation: 14/7Relocation required: NoTravel required: Yes (to/from site from the Edmonton or Calgary aerodrome)Contract type: Project-basedExperience level: 5+ years#J-18808-Ljbffr
