Job Overview
We are seeking a highly organized and an experienced Case Coordinator to join our team.
This role involves managing case files, coordinating communication between stakeholders, and ensuring timely resolution of cases. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency in various software tools.
Candidates must have at least 1–2 years of hands-on experience processing Canadian immigration applications.
Responsibilities
- Open, organize, and maintain case files from intake through submission and post-submission stages
- Review application forms and supporting documents for completeness, accuracy, and consistency before submission
- Cross-check information across forms, supporting evidence, and client records to identify errors, omissions, or inconsistencies
- Prepare files strictly in accordance with internal checklists, workflows, and standard operating procedures
- Manage documents within the firm’s case management and document management systems
- Ensure all required documents are received, properly named, and correctly placed within each case file
- Track file progress and update real-time case status in CRM / tracking systems
- Assist with assembly and preparation of applications for submission
- Conduct pre-submission quality checks to ensure files are submission-ready before consultant review
- Monitor internal deadlines and follow up on pending items to ensure timely file completion
- Support post-submission file management, including uploading acknowledgements,
correspondence, and additional documents
- Review incoming correspondence and requests related to existing files and route them appropriately for action
- Maintain strict confidentiality and data accuracy while handling sensitive client information
- Follow escalation procedures for complex issues, missing information, or discrepancies identified during file review
- Perform other case processing and administrative support tasks related to file preparation and case progression
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) along with familiarity with Microsoft and Windows operating systems
- Excellent organizational skills with the ability to prioritize tasks effectively
- Demonstrated analysis skills for interpreting data and generating insights
- Experience in project management, records management, filing, procurement, and administrative functions
- Ability to manage databases efficiently and maintain accurate records

Job Type: Full-time
Pay: $20.00-$24.00 per hour
Expected hours: 35.0 – 40.0 per week
