The Opportunity

We are looking for a Purchasing and Scheduling Assistant to provide day-to-day support to our purchasing and production activities. This is an assistant-level, hands-on position focused on supplier follow-up, accurate data, Excel tracking, MRP setup support, and regular communication with employees on the production/factory floor.

This is an internal operations role, not a customer-facing or management position. It is best suited to someone with a few years of practical manufacturing experience who enjoys execution, follow-through, and solving everyday operational issues. You will spend time both at your desk and in the factory, checking information, speaking with production employees, and helping the team respond to material and scheduling needs.

What You Will Do

- Assist with the full purchase order process, including preparing, entering, updating, filing, and following up on purchase orders.
- Communicate regularly with suppliers to obtain quotations, confirm orders and delivery dates, follow up on late or incomplete deliveries, and resolve routine discrepancies.
- Build effective working relationships with suppliers, factory employees, production supervisors, inventory, and operations.
- Spend time on the factory floor to verify material needs, shortages, priorities, and information that may affect production.
- Support the setup and rollout of the MRP system by gathering, cleaning, entering, and validating supplier, item, purchasing, lead-time, and inventory data.
- Help test MRP workflows, identify missing or inaccurate information, document processes, and maintain reliable system data after implementation.
- Use Excel every day to create and maintain purchasing trackers, material lists, production schedules, inventory reports, reconciliations, and follow-up lists.
- Assist with short-term production scheduling by updating information, tracking priorities and material availability, and communicating changes to the appropriate employees.
- Monitor inventory levels and assist with stock replenishment, cycle counts, material requirements, and shortage reporting.
- Compare purchase orders, supplier confirmations, receipts,



invoices, delivery dates, and inventory records; investigate and report discrepancies.
- Keep purchasing files, records, and shared information organized and up to date.
- Provide other practical purchasing, scheduling, inventory, and administrative support as required in a small manufacturing business.

What You Bring

- Approximately 2 to 4 years of hands-on experience in purchasing, procurement support, material or inventory coordination, or production support within a manufacturing environment.
- Direct experience communicating with suppliers and following orders through to delivery.
- Direct experience working on site in a factory or manufacturing plant and collaborating comfortably with production employees.
- Practical experience using an MRP or ERP system. Experience supporting a current system implementation, data cleanup, or system setup is a strong asset.
- Strong Excel skills in a work environment, including formulas, XLOOKUP or VLOOKUP, pivot tables, filters, sorting, data validation, and reconciling information across spreadsheets.
- Bilingual communication skills in English and French, both spoken and written.
- Strong organization and attention to detail, with the ability to manage several follow-ups and changing priorities at the same time.
- A practical, respectful communication style and confidence speaking with people in the office, on the factory floor, and at supplier organizations.
- Comfort working in a small, family-owned business where employees collaborate closely, take initiative, and help where needed.
- Ability to work full-time on site in Laval, five days per week.
- A high school diploma is required. Post-secondary education in supply chain, operations, logistics, or business administration is an asset, but practical experience is valued most.
