Job description

Location: Greater Toronto Area

Employment Type: Full-Time

Salary: $60,000–$70,000 per year, depending on experience

Vehicle Allowance: $400/month

What We're Looking For

The ideal candidate will have approximately 2–4 years of experience in commercial property management, property administration or commercial building operations.

Experience with industrial or multi-tenant commercial properties is preferred.

Most importantly, we are looking for someone who:

- Takes ownership of problems and follows them through to completion.
- Is highly organized and able to manage numerous outstanding items simultaneously.
- Communicates professionally and confidently with tenants, contractors and owners.
- Is comfortable visiting and inspecting commercial and industrial properties.
- Has practical judgment and can determine when an issue can be handled independently and when it should be escalated.
- Is comfortable coordinating trades and has a basic understanding of commercial building systems.
- Is responsive, reliable and detail-oriented.
- Is comfortable working in an entrepreneurial property management environment where responsibilities are broader than at a large institutional organization.
- Is interested in developing into a more senior commercial property management role over time.

Why This Role Is Different

This position offers broader exposure than a traditional Property Administrator role.

You will work directly with senior management and be involved in the complete management of commercial properties, including tenant relations, building operations, contractor management, leasing, construction and capital projects.

Rather than being limited to one narrow function, the successful candidate will have the opportunity to develop practical experience across the full commercial property management cycle.

For the right candidate, the intention is for this position to develop into a Commercial Property Manager role with increasing responsibility for a portfolio of properties over time.

About the Role:

We are seeking a Junior Commercial Property Manager to assist with the management and day-to-day operation of a portfolio of industrial and multi-tenant commercial properties across the Greater Toronto Area.

The successful candidate will regularly visit properties, communicate directly with tenants and contractors, coordinate repairs and maintenance, inspect completed work, assist with leasing and capital projects,



and take ownership of routine property issues from initial report through resolution.

The position is well suited to someone currently working as a Property Administrator, Property Coordinator, Assistant Property Manager or Junior Property Manager who is looking for greater responsibility and broader exposure to commercial real estate.

You will work directly with senior management and gain hands-on experience across property operations, tenant relations, leasing, construction and capital projects.

Responsibilities

Property Operations & Maintenance

- Act as the primary point of contact for routine tenant service requests and property related issues.
- Coordinate HVAC, electrical, plumbing, roofing, locksmith, overhead door, cleaning, waste, landscaping, snow removal, security and other contractors.
- Investigate property issues, determine appropriate next steps and coordinate resolution.
- Follow up with contractors and tenants to ensure work has been completed satisfactorily.
- Conduct regular property inspections and maintain documented deficiency lists, including photographs.
- Monitor common areas, exterior conditions, lighting, garbage, landscaping, snow removal and general property appearance.
- Coordinate contractor access, keys, locks and building access requirements.
- Assist with emergency and after-hours property issues when required.

Tenant Relations

- Develop qualified working relationships with commercial tenants.
- Respond promptly to tenant inquiries and service requests.
- Keep tenants informed regarding repairs, maintenance and building activities.
- Coordinate tenant move-ins and move-outs.
- Address routine concerns involving cleanliness, parking, garbage, access and common areas.
- Escalate significant disputes, lease issues and defaults to senior management.

Contractor & Vendor Management

- Obtain and organize quotations for repairs and maintenance.
- Schedule and coordinate contractors.
- Monitor outstanding work and follow up until completion.
- Review completed work and supporting documentation.
- Maintain contractor contact information,



insurance documentation and other required records.
- Assist in evaluating contractor performance and identifying alternative vendors where appropriate.

Capital Projects

- Assist with the coordination of roofing, HVAC, paving, concrete and other capital improvement projects.
- Attend site meetings and coordinate contractor access.
- Maintain project schedules, photographs and deficiency lists.
- Coordinate tenant notices relating to construction, shutdowns and access.
- Track project documentation, warranties and close-out materials.
- Assist with reviewing progress invoices and project status.
- Coordinate consultants, contractors and tenants throughout project execution.

Leasing Support

- Respond to and organize leasing inquiries.
- Coordinate and conduct property and unit showings.
- Maintain information and photographs for available units.
- Assist with signage and preparation of vacant spaces for marketing.
- Collect information and documentation from prospective tenants.
- Assist with preparation and administration of leasing documentation.

Property Administration

- Maintain accurate tenant, lease, contractor and property records.
- Track tenant insurance certificates and other required documentation.
- Maintain lease expiry and option schedules.
- Assist with accounts receivable and routine arrears follow-up.
- Review and code property invoices as required.
- Maintain work-order and outstanding-item tracking.
- Assist with preparation of monthly property reports.
- Organize quotations, contracts, warranties and property documentation.

Security & Building Issues

- Assist with security incidents, trespassing and other property concerns.
- Coordinate with security and camera-system contractors.
- Retrieve and review security footage when required.
- Maintain records of significant incidents and recurring issues.
- Identify and recommend practical improvements to property security and access control.

Compensation

- $60,000–$70,000 annual salary, depending on experience.
- $400/month vehicle allowance.
- Three weeks paid vacation.
