Pre-Clerkship Senior Coordinator, College of Medicine (Regina, SK)

Primary Purpose: Provide central oversight and manage the administration of Pre-clerkship in the Undergraduate Medical Education program on the Regina Campus. Guide administrative staff in Pre-clerkship and develop workflow, policies and procedures to ensure seamless and consistent program delivery across at all sites and compliance with accreditation standards.

Nature of Work: Reporting to the Associate Dean, Regina Campus and Associate Dean - Undergraduate Medical Education (UGME) and the UGME Manager, College of Medicine. The Pre-clerkship Coordinator will build and maintain professional relationships with various stakeholders including students, faculty, departmental colleagues, and outside agencies. This position will work as part of a team as well as independently. This position requires the ability to work under pressure in a fast paced workplace while balancing competing deadlines and multiple tasks. Some travel within the province may be required.

- Working as an integral team member of the College of Medicine (CoM) undergraduate medical education (UGME), the Coordinator will liaise between the Regina Campus and the central offices of the College of Medicine to ensure the successful implementation of the pre-clerkship (year 1 and 2) program in Regina. This will include hands on operational involvement in all aspects related to pre-clerkship medical education delivery and a solution oriented and collaborative approach to the implementation of the curriculum in Regina.
- The Coordinator is also responsible for and accountable to ensure that all legal health and safety requirements are met within the pre-clerkship program.

Accountabilities: Directing and overseeing the pre-clerkship Regina team’s day to day operations, involving the CoM and AHS partners when appropriate in:

Team Leadership for Regina Campus Pre-Clerkship Coordinator team such as:

- Coaching, guiding, and supporting the pre-clerkship team to achieve team priorities.
- Contributing actively to problem-solving and decision making, including participating in team meetings towards ensuring consistency between implementation of CoM policies, procedures and learning experiences on both campuses;
- Managing matters pertaining to the Regina pre-clerkship operations, including but not limited to curriculum, curriculum delivery, infrastructure (facilities, information technology, etc.) and faculty involvement.
- Ensuring the documentation of policies and procedures related to the Regina pre-clerkship program are current and available to the team on the internal shared drive;
- Tracking, analyzing, reporting pertinent information for Regina Campus and UGME Leadership such as:
- Recruitment needs
- Collaboration with Simulated Patient Educators (SPE) to communication needs for standardized patients.
- Student movement through the undergraduate program





- Leading the Regina-based student orientation with support from the Pre-Clerkship team.
- Working with Student Services team members to identify trends and address student issues or processes for Regina campus functionality.
- Monitoring Regina campus specific program feedback, attendance tracking, equipment or space concerns and forwarding to the appropriate individual for action and direct the assessment of the feedback to the appropriate leadership.

Facilitating the delivery of the pre-clerkship program to ensure successful implementation in Regina in relation to:

- Overseeing curriculum, resources, Regina year one and two schedules
- Support implementation of solutions to accreditation issues.
- Supporting the Coordinators in the delivery of curriculum modules where space, recruiting or other issues have obstacles.
- Collate the recruitment challenges and opportunities and addressing this to the appropriate COM leadership, support problem solving with the team to meet recruitment needs.
- Advising the pre-clerkship team, AHS partners and CoM leadership on matters related to pre-clerkship implementation and operations
- Providing guidance related to medical education and processes
- Triaging issues that arise for Regina students and notifying Chair when immediate action is required.

Faculty (physician and non-physician)

- Identify and coordinating support for Regina-based faculty to teaching expectations, tools, access to software, etc. with partners in UGME and COM partnerships.
- Receiving concerns about faculty, conducting analysis of the concern, and presenting the concern to appropriate UGME leadership for action.
- Ensuring participation in internal and external committees as the Regina pre-clerkship delegate either by direct participation or through delegation to another Regina pre-clerkship team member. Serve as a Regina voting member on committees to be identified with UGME and Regina Campus leadership.

Education: A degree, preferably a master’s degree, in a related field (primarily Health Care, Administration, Education, Adult Education, Human Resources, or Psychology). A combination of education and experience may be considered.

Experience: At least five years of related experience. Experience working in an institutional environment would be considered an asset.

Skills: Strong evidence of relationship building, demonstrated skilled maturity, judgment and decisiveness, exceptionally strong written, verbal, research, organizational and communication skills.

- Ability to make data-driven decisions and demonstrated commitment to quality.
- Demonstrated experience in project management and being highly organized.
- Proficiency with contemporary computer applications including web maintenance program.
