Job Summary
Hotch's Auto Parts is a family owned and operated automotive recycling business serving southeastern Ontario for over 40 years. We are currently seeking a reliable and knowledgeable Administrative Assistant at our Ameliasburgh location in Prince Edward County.
Responsibilities
Bookkeeping
- Ensure on a daily basis, that receivables are collected promptly and reconciled against customer accounts, as well as, daily driver manifests.
- Reconcile daily cash, charge, check and other transactions.
- Conduct daily, weekly, and monthly reconciliations of various accounts.
- Responsible for maintaining all filing systems in the office, including daily filing of all paperwork and maintaining accurate archives of paperwork.
- Responsible for preparing month end customer statements.
- Responsible for arranging the pickup and payment of vehicles as per pre-set contracts.
- Responsible for ensuring new vehicle purchases are paid promptly and accurately put into stock.
- Provide clerical and administrative support to management as requested.
Other
- Support day-to-day HR operations and ensure compliance with company policies and labor laws.
- Assist in recruitment processes including job postings, screening, interviewing, and onboarding.
- Coordinate training and development programs and contribute to developing and updating HR policies and procedures.
- Regularly update and maintain the company's website and social media accounts to ensure content is accurate, engaging and aligned with company values.
- Assist with other duties as required and support the overall operations of the business as needed.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with Sage or similar bookkeeping software.
- Strong data entry skills with high accuracy and attention to detail.
- Excellent organizational skills to manage multiple tasks efficiently.
- Ability to handle multi-line phone systems professionally and courteously.
- Previous clerical or administrative experience preferred.
- Solid written and verbal communication skills with good proofreading abilities.
- Familiarity with bookkeeping and office management best practices.
- Ability to adapt quickly to new software tools and office procedures.
Pay: From $22.00 per hour
