Position Summary The Recreation Coordinator oversees facility and recreation bookings and assists in implementing and delivering recreation programs at the individual community centres, parks, and Arenas. This position provides customer service and administrative support at the Komoka Wellness and Recreation Centre and assists and acts as a resource for public and instructional programs, including rentals, at their scheduled recreational facilities.

Responsibilities

Recreation Programs and Facility Bookings

Handles booking inquiries and payments via phone, email, and in-person interactions, providing detailed information about facilities, recreational surfaces and available dates.

Prepares and distributes reports and schedules for facility bookings to be used as by operators and caretakers.

Establishes partnerships with local organizations for the delivery of recreation programs in the community that play on Municipal recreation facilities.

Receives, processes and files agreements and signed policies from clients ensuring adherence to procedures and by-laws.

Assists with the processing and distribution of accounts payable and receivable invoices, ensuring accuracy and proper coding.

Prepares and posts customer account adjustments.

Prepares booking reports and analysis as required by management.





Assists and provides support to customers registering for recreation programs.

Assists in the development of recreational programs and services.

Oversees the day-to-day operations of recreational programs, including registration, customer service, staff and volunteer recruitment and coordination, and supporting special needs participants.

Administers and monitors HIGH FIVE standards for all children’s and older adults programs.

Provides program content and information to aid in the promotion of programs through marketing and website content.

Ensures health and safety protocols are met for all participants, staff, and volunteers.

Participates in community events (school visits, community events) and acts as the municipal liaison to promote programs and services.

Research grant opportunities and develops grant applications to apply for funding to support new program ideas.

Customer Service

Acts as first point of contact at the Komoka Wellness and Recreation Centre for the public, answering inquiries, providing information and referring callers/visitors to appropriate staff as required.

Processes incoming and outgoing mail, deliveries, and emails.

Responds to inquiries and provides information to groups and individuals on facility and program availability and pricing.

Issues contracts for all municipal recreational facilities, including parks, arenas, community centres and sports fields.

Receives and processes rental payments, ensuring that all revenue collected is consistent with the central booking process and the fee by-law.

Provides administrative support to the department as required, including proofreading, formatting documents, and producing forms, reports, statements and presentation materials.

Other Responsibilities

Provides back-up support to the Community Services Customer Service Supervisor as required.

Complies with all health and safety practices and ensures compliance with AODA standards.

Responsible for department records management functions, including managing and administering corporate records, developing, and implementing content management systems and workflows, and policy and procedure manuals.

Performs daily exports from recreation and accounting software and ensures both systems balance.





Processes refunds and credits for cancelled classes and facilities

Monitors and maintains inventory of recreation equipment and supplies.

Undertakes special projects and performs other duties as assigned in accordance with departmental or corporate objectives i.e. grants.

Qualifications & Experience

Education

College Diploma in Recreation & Leisure or related field of study.

HIGH FIVE Certification: Principles of Healthy Child Development, Quest 2, Principles of Healthy Child Development Trainer, or willing to obtain.

Experience

3 years of progressive experience in an administrative, customer service and recreation environment.

Previous experience with delivering programs and services or overseeing facility bookings in a recreation setting.

1 year of experience working with youth, teens and volunteers.

Skills & Abilities

Excellent interpersonal and communication skills with the ability to interact effectively and courteously with all levels of staff and members of the public.

Demonstrated customer service skills.

Strong organizational skills, attention to detail and ability to multi-task.

Demonstrated conflict resolution skills.

Demonstrated knowledge of administrative processes and office equipment.

Knowledge of computer software programs, including Microsoft Office Suite;

experience using facility booking and registration software is a requirement.

Other Requirements A valid Ontario class G driver’s license in good standing.

Criminal Records and Judicial Matters Check.

Standard First Aid & CPR (current; or committed to completing)

Hours & Conditions of Work

Hours of work are 37.5 hours per week, on a rotating schedule which could include daytime, evenings and weekend shifts.

This position primarily works primarily at the Komoka Wellness and Recreation Centre, with travel to other facilities as needed.

Compensation

Middlesex Centre offers a competitive salary and a comprehensive employee benefit plan, including participation in the OMERS pension plan for this position.

Compensation for this position is currently $56,277.00 to $67,002.00 per year.
