Position Overview The Executive Assistant will perform a wide range of administrative duties, ensuring the effective and efficient day-to-day operation for the General Manager of the Cabot Cape Breton golf resort, who also serves as Regional Vice President (Americas) of the Cabot Collection.

n

The Profile

nThe Executive Assistant to the General Manager / Vice President is an experienced and discreet individual with an ability to juggle and prioritize multiple tasks at once.n

Key Responsibilities

n

n
- Support the General Manager/Vice President in managing his calendar with a deep understanding of key priorities and managing his time accordingly.n
n
- Manage the coordination of the GM/VP’s day-to-day activities including but not limited to:nn
- Arranging in-person meetings, conferences, and video conferences involving multiple internal/external participants
n
- Making all logistical meeting arrangements (e.g., coordinating boardroom bookings,



travel arrangements and distributing related materials prepared by the GM/VP).
n
- Responding to General Manager’s emails on his behalf based on guidance provided
n
- Any personal support required to fulfill other obligations
n
n
n
- Provide active administrative support for the General Manager/Vice President both in-person in Inverness and remoten
n
- Manage the GM/VP’s expenses in coordination with his personal accountantsn
n
- Occasionally support senior management with projects and administrative tasksn
n
- Liaise with our Home Office (Toronto) team on a variety of initiatives and projectsn
n
- Identify and recommend methods to improve administrative systems and business functions to maximize office efficiency and effectiveness.n

nPreferred qualifications and skillsnn
- 5+ years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role, preferably in luxury hospitality, resorts, private clubs, or high‑end service environments
n
- Exceptional organizational, time‑management, prioritization and multitasking abilities
n
- Meticulous attention to detail
n
- Strong written and verbal communication skills
n
- High level of discretion, emotional intelligence, and professionalism
n
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with hospitality systems is an asset
n
- Ability to work flexible schedule as required by resort operations and events
n
