Information Technology Specialist
We are currently seeking an Information Technology Specialist to support and maintain our organization’s technology infrastructure, clinical systems, and cybersecurity environment.
Overview
The Information Technology & Digital Health Specialist manages and supports PFHT’s IT infrastructure, clinical systems, and cybersecurity environment. This role supports approximately 100 users across multiple clinical sites, including interdisciplinary health providers and administrative staff, and is responsible for computers, servers, phones, EMR systems, and digital health tools while ensuring compliance with PHIPA and healthcare privacy requirements.
The position may also support organizational privacy and cybersecurity initiatives, with training provided where appropriate.
Key Responsibilities
IT Infrastructure & Systems Management
- Install, configure, and maintain computers, printers, servers, mobile devices, and other clinic hardware across PFHT sites
- Manage and maintain physical, virtual, and cloud‑based infrastructure (Windows Server, Active Directory, Microsoft 365, and backup systems), and Owl technology
- Support networking infrastructure including firewalls, switches, VLANs, wireless networks, VPN access, and internet connectivity
- Manage secure fax solutions, phone systems, and other technologies
- Maintain system documentation, asset inventories, and troubleshooting guides
- Oversee and manage the organization’s computer replacement cycle and coordinate procurement of end‑user hardware
- Implement and maintain secure backup and disaster recovery systems
Clinical Systems & EMR Support
- Provide end‑user support for clinical and administrative applications, including EMR systems and digital health tools as needed (may include EMR set up and configuration for clinicians)
- Support system upgrades, testing, deployment, and training for staff and physicians
- Troubleshoot technical issues and coordinate with external vendors when required
- Support digital health tools such as secure messaging, patient portals, online appointment booking,
and other integrated systems
- Conduct routine and targeted chart audits within the EMR to ensure compliance with regulatory standards, and to support quality improvement initiatives
Cybersecurity & Privacy
- Support the development and implementation of cybersecurity policies, standards, and procedures
- Assist with cybersecurity governance, risk management, and compliance with PHIPA and cyber insurance requirements
- Conduct threat risk assessments and vulnerability reviews, identifying and addressing potential security risks
- Maintain endpoint security, encryption, and malware protection systems
- Deliver cybersecurity awareness training and guidance for staff as needed
- Training and support may be provided to allow the successful candidate to assist with organizational privacy officer responsibilities
User Support & Training
- Provide technical support to interdisciplinary health providers, administrative staff, and when required our partnering physicians and FHO staff
- Support onboarding of new staff and clinicians by setting up accounts, devices, and system access
- Respond to technical issues in a timely and professional manner
Digital Health Collaboration
- Work collaboratively with internal teams, physicians, and regional partners (including the Ontario Health Team) to support digital health initiatives
- Evaluate and recommend new technologies that improve clinical workflows, security, and patient care
Hours Of Work
Hours of service are pre‑established per employment agreement and may require some evenings and weekends. Any deviation from the established schedule shall not negatively impact upon the provision of service to the patient population.
Location
Main office location: 185 King St, 5th floor, Peterborough, Ontario. Some local cross‑site coverage may be required.
Qualifications
Education
- Post‑secondary education in Information Technology, Health Informatics, Computer Science, or a related field
- Equivalent combination of education and relevant experience will also be considered
Experience
- Minimum 3–5 years of experience supporting IT systems in a medium‑size organization
- Experience managing hardware, networks, and enterprise software environments
- Experience supporting EMR systems is considered a strong asset
- Experience working with Microsoft 365
Assets
- Experience in healthcare environments and familiarity with PHIPA privacy requirements
- Experience with EMR systems or digital health tools (e.g., OceanMD, Accuro, TELUS Practice Solutions, secure fax platforms)
- Knowledge of cybersecurity frameworks
- Experience managing vendors and external IT service providers
Skills & Competencies
- Strong troubleshooting and problem‑solving abilities
- Excellent communication skills and ability to support non‑technical users
- Ability to manage multiple priorities in a dynamic clinical workplace
- Ability to work independently while collaborating with interdisciplinary teams
Working Conditions
- In‑person role based in Peterborough, Ontario, with occasional travel between PFHT sites in the city and county
- Occasional after‑hours support may be required during system upgrades or urgent technical issues
