Medical Office Reception & Administrator (Hearing Clinic)

At Accurate Hearing NS, this role is internally known as our Patient Care Assistant and serves as the first point of contact for patients. Applicants with medical office administration, reception, or customer service experience are strongly encouraged to apply.

Role Summary

As the first point of contact, the Patient Care Assistant plays a vital role in ensuring smooth clinic operations and exceptional patient service. This role requires strong organizational skills, attention to detail, technical proficiency, and a patient-centered approach to keep the clinic running efficiently and patients feeling well cared for.

Key Responsibilities

Reception & Patient Coordination





- Greet and assist patients and visitors warmly and professionally.
- Answer and direct phone calls and electronic inquiries.
- Maintain clinician calendars and manage scheduling adjustments.
- Send appointment reminders and manage recall follow-ups.
- Assist patients with forms and documentation.
- Maintain accurate patient records (electronic and paper).
- Process mail, deliveries, and online orders.
- Maintain a clean, organized, and professional clinic workplace.
- Coordinate and forward patient records to physicians and specialists as required.

Administrative

- Process payments and record transactions in the office management system
- Submit and manage third-party claims (WCB, Veterans Affairs Canada, insurance providers)
- Reconcile daily payments and prepare end-of-day reports.
- Follow up on outstanding accounts.
- Prepare correspondence, reports, and mail-outs.
- Scan, file, and archive documents.
- Monitor and order clinic and office supplies.
- Support clinicians with documentation and basic hearing aid maintenance.
- Maintain confidentiality and adhere to NSCASLP safety protocols.

Qualifications

Education & Experience

- High school diploma required.
- Diploma in Office Administration or equivalent experience.




- Experience in a healthcare or medical office setting preferred.
- Experience with insurance, WCB, VAC billing, or online claims an asset.
- Experience using office management or CRM systems.
- Intermediate proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Comfortable communicating by phone.
- Ability to be bonded.
