The Position – Materials Project Coordinator
AllRock currently operates seven office locations, three in Newfoundland (Corner Brook, Mount Pearl, and Gander) and four in Ontario (Toronto, Ottawa, London, and Barrie).
AllRock Consulting is rapidly growing, and we’re looking for an experienced Project Coordinator to lead and expand our Toronto operations.
In this key leadership role, you’ll combine your technical expertise, whether in geotechnical engineering, civil engineering, or materials testing, with strong leadership and business development skills to operate, grow, and elevate our offices. You’ll take a hands-on approach to project delivery while building, mentoring, and inspiring a high-performing team.
This role requires a go-getter mindset, someone who is ambitious, proactive, and comfortable engaging with clients. You’ll be expected to drive business growth, build strategic relationships, and represent AllRock with confidence and professionalism in client meetings, industry events, and community engagements.
Key Responsibilities
- Coordinate materials testing and inspection projects, including defining scope, developing work plans, and identifying required field and laboratory resources (technicians, equipment, and materials).
- Develop and maintain project schedules, coordinating daily field and lab activities to ensure timely execution and efficient technician utilization.
- Track project budgets, monitor costs (lab, field, subcontractors), and flag variances or risks to Project Managers.
- Coordinate material testing requirements, equipment logistics, and technician assignments to ensure readiness for site activities.
- Act as a key point of contact between field staff, lab personnel, Project Managers, clients, and contractors to ensure clear communication and project alignment.
- Support quality assurance and quality control by ensuring all testing and inspections are completed in accordance with applicable standards (e.g., MTO, OPSS, CSA, and municipal specifications).
- Prepare, review, and maintain project documentation including daily field reports, lab submissions, test results, and progress tracking.
- Monitor turnaround times for lab testing and reporting to ensure client deliverables are met.
- Assist with identifying project risks, resolving scheduling or resource conflicts, and escalating issues as needed.
- Coordinate project setup and close-out activities, ensuring accurate job initiation, alignment of field and lab resources, and timely completion of all documentation and final deliverables.
- Assist with proposal preparation, work order setup, invoicing coordination, and tracking of billable hours versus scope.
- Ensure compliance with company health and safety policies, including coordination of safe work practices for field and lab operations.
- Participate in monthly invoice reviews, ensuring accuracy, completeness, and alignment with project scope, billable hours, and approved rates.
- Travel to project sites, and flexibility for shift work and overtime may be required based on project demands.

Education, Experience, and Skills Required:
- Civil or Geotechnical, Technician or Technologist Diploma, or similar. Bachelor of Science or Engineering Degree considered an asset (Minimum requirement is a college diploma and related experience).
- P. Eng. Certification is an asset but not required.
- 5+ years relevant experience in Materials Engineering or Geotechnical Engineering preferred but not required.
- 2+ years of management experience (Must be engineering or construction related)
- Must have experience managing a team (scheduling, project coordination, training etc)
- Attention to detail in all undertakings is essential
- Superior organizational and communications skills are essential
- Desire to succeed in a dynamic, progressive organization
- Familiarity with federal and provincial environmental legislation and regulations
- A high level of integrity and pride in quality work is imperative.
- Proven technical writing skills.
- Strong interpersonal, verbal and written communication, and organizational skills.
- CCIL – Concrete and Asphalt Certification is an asset but not required.
- Lab testing experience considered an asset, but not required.
- Valid Driver’s License and access to a reliable vehicle.
