Job Overview:

Volatus Aerospace is seeking a proactive and detail-oriented HR & Payroll Specialist to support our Human Resources operations in Quebec. This role will report directly to the Director of Human Resources and will serve as a key HR resource at our Mirabel location.

As part of the Human Resources team, this role is responsible for both payroll processing and employee-facing HR support, acting as the primary point of contact for employees in Quebec. The successful candidate will play a critical role in ensuring accurate payroll processing, supporting employee lifecycle activities, and maintaining compliance with applicable regulations.

This is a fully onsite position based in Mirabel, Quebec, and requires bilingual proficiency in English and French.

Key Responsibilities

Payroll Responsibilities

- Own the end-to-end payroll process for assigned employee groups across Canada and the United States, ensuring payroll is processed accurately, on time, and in compliance with applicable legal and company requirements.
- Review and process payroll transactions related to hiring, compensation changes, variable pay, commissions, allowances, statutory leaves, terminations, final pay, and benefit or other deductions.
- Manage the day-to-day administration of the Companys stock option and RSU programs, including recordkeeping, vesting, compliance, and related payroll taxation and reporting.
- Reconcile payroll registers, remittances, tax withholdings, benefit deductions, and general payroll reports, and investigate and resolve discrepancies in a timely manner.
- Support cross-border payroll administration by ensuring payroll inputs and employee data are correctly maintained for multiple jurisdictions and worker populations.
- Prepare payroll-related documentation and filings, including Records of Employment, year-end slips (T4 and W2) and summaries, audit support, and other payroll compliance materials.
- Serve as the primary HR payroll contact for employees and managers for payroll inquiries and issues.
- Ensure payroll changes are accurately coordinated and aligned with offer letters, employment agreements, promotions, organizational changes, benefit enrolments, and leave administration.
- Collaborate with Finance on payroll funding, reconciliations, accrual support, reporting, and month-end or year-end payroll requirements.
- Help establish, document, and improve payroll procedures, controls, and reporting practices to support operational efficiency and compliance.
- Liaise with payroll providers and support the ongoing maintenance of payroll systems, including system updates, implementation activities, testing, and issue resolution.
- Contribute to jurisdictional readiness for future payroll expansion, including assisting with payroll processes and coordination for new jurisdictions such as the United Kingdom.
- Maintain strict confidentiality and handle sensitive employee data with a high degree of accuracy, discretion, and professionalism.





Human Resources Responsibilities

- Act as the primary HR point of contact for employees at the Mirabel location
- Support employee onboarding, including documentation, system setup, and orientation coordination.
- Respond to employee inquiries related to HR policies, payroll, benefits, and general employment matters
- Assist with recruitment activities in Quebec, including candidate screening and interview coordination.
- Support employee lifecycle processes including employee changes, offboarding, and document management.
- Ensure compliance with Quebec employment standards and company policies
- Partner with the broader HR team to implement HR initiatives and maintain consistent practices.

Qualifications & Experience

- 35+ years of experience in payroll processing, preferably in a multi-jurisdiction environment
- Strong knowledge of Canadian payroll legislation, statutory deductions, and compliance requirements
- Experience with payroll systems such as Dayforce; familiarity with BambooHR or other HRIS platforms is an asset
- Bilingual in English and French (required)
- Strong understanding of HR processes and employee lifecycle management
- High level of accuracy, attention to detail, and ability to handle confidential information
- Strong organizational, analytical, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment

Hours of Work, Work Environment

- Standard workweek of 40 hours from Monday to Friday
- This is an onsite role, requiring 5 days in the office.
- Occasional flexibility may be required to support time-sensitive business needs and payroll activities.

Ce rle combine le traitement de la paie et le soutien RH aux employs, agissant comme point de contact principal pour les employs au Qubec. Le/la candidat(e) retenu(e) jouera un rle essentiel dans lexactitude de la paie, le soutien du cycle de vie des employs et le respect des exigences rglementaires.

Ce poste est entirement en prsentiel Mirabel et exige un bilinguisme franais/anglais.

Responsabilits principales

Responsabilits Paie

- Grer le processus complet de paie pour des groupes demploys au Canada et aux tats-Unis, en assurant exactitude, conformit et respect des chances
- Traiter les transactions lies aux embauches, ajustements salariaux, commissions, primes, congs lgaux, cessations demploi et retenues
- Administrer les programmes doptions dachat dactions et dunits dactions restreintes (RSU)
- Effectuer les conciliations de paie, remises, dductions et rapports, et rsoudre les carts
- Soutenir la paie transfrontalire pour diffrentes juridictions
- Prparer les documents de paie (RE, T4, W-2, etc.) et soutenir les audits
- Servir de point de contact principal pour les questions lies la paie
- Assurer la cohrence entre la paie et les contrats, promotions, avantages et changements organisationnels
- Collaborer avec lquipe Finance pour les conciliations et les exigences de fin de mois/anne
- Mettre en place et amliorer les processus et contrles de paie
- Collaborer avec les fournisseurs de paie et maintenir les systmes
- Participer lexpansion internationale de la paie (ex. Royaume-Uni)
- Assurer la confidentialit et la gestion rigoureuse des donnes sensibles

Responsabilits Ressources humaines

- Agir comme point de contact RH principal pour les employs Mirabel
- Soutenir lintgration des employs (documents, systmes, orientation)
- Rpondre aux questions lies aux politiques RH, la paie et aux avantages
- Participer au recrutement au Qubec (prslection, coordination des entrevues)
- Soutenir le cycle de vie des employs (changements, dparts, gestion documentaire)
- Assurer la conformit aux normes du travail du Qubec
- Collaborer avec lquipe RH globale pour assurer des pratiques cohrentes

Qualifications et exprience

- 3 5 ans dexprience en paie (environnement multi-juridiction un atout)
- Excellente connaissance de la lgislation canadienne en matire de paie
- Exprience avec Dayforce; BambooHR ou autre SIRH est un atout
- Bilinguisme franais/anglais (obligatoire)
- Bonne comprhension des processus RH
- Grande rigueur, souci du dtail et gestion de la confidentialit
- Excellentes comptences organisationnelles et analytiques
- Capacit grer plusieurs priorits dans un environnement dynamique

Horaire et environnement de travail

- Semaine de travail standard de 40 heures (lundi au vendredi)
