The Okotoks & District Chamber of Commerce is seeking a highly organized, community-minded Administrative & Member Relations Coordinator to work closely with the Executive Director to support daily operations, member relations, events, and basic accounting functions.

Hours will vary based on season:
n

- Standard: 10–15 hours/week
n
- Busy event periods: up to 20–40 hours/week
n
- Slower weeks: approx. 5–10 hours/week
n
nThis position is best suited for someone who enjoys variety, thrives in a flexible environment, and is comfortable being both independent and hands-on when needed. The role has strong potential to grow into a full-time position for the right candidate.nPreference will be given to candidates with strong ties to the Okotoks community and an understanding of the local business landscape.n
Key Responsibilities
nMember Relations & Administrationn
n
- Maintain and update member records in CRM system
n
- Support member inquiries and account maintenance
n
- Send renewal reminders and thank-you correspondence
n
- Provide general administrative support to the Chamber office
n
nEvent Supportn
n
- Assist with execution of Chamber events (breakfasts, lunches, golf tournament, trade shows, etc.)
n
- Support event setup, registration, and occasional on-site coordination
n
- Liaise with venues and vendors for logistics
n
- Assist with post-event tracking and follow-up
n
nBasic Accounting Supportn
n
- Data entry for accounts payable and receivable
n
- Assist with bank reconciliations and bookkeeping tasks
n
- Work within accounting software (e.g., QuickBooks Online)
n
nCommunications & Office Supportn
n
- Assist with weekly newsletter and email communications
n
- Maintain accurate member data across systems
n
- General administrative support for Executive Director and committees
n

Scheduling is typically planned 2–3 weeks in advance based on operational and event needs.
