Our team of three advisors serves a broad client base across investment management, retirement planning, estate planning, and insurance. We are growing our team and looking for a motivated, detail-oriented Client Service Associate to join us in a dedicated support role. This is a meaningful position with real ownership and accountability not a rotating general admin seat.

The Role
nAs a Client Service Associate, you will be the dedicated operational support for one of our senior advisors. You will manage the day-to-day administration of their practice, support clients directly, and ensure every instruction, trade, and follow-up is handled accurately and on time.n

What You’ll Do
nTrade Processing & Account Administrationn
n
- Prepare and submit trade tickets and investment instructions accurately and on timen
n
- Process account paperwork including new accounts, transfers, and registered account changes (RRSP, TFSA, RESP, RDSP)n
n
- Follow up with back-office and head office teams to resolve outstanding itemsn
n
- Maintain accurate, up-to-date records in the CRM systemn
n
nInsurance Servicingnn
- Prepare and submit insurance applications, change forms, and policy service requestsn
n
- Follow up with carriers on application status and policy inquiriesn
n
- Maintain insurance documentation and policy records in client filesn
n
nClient Communicationsnn
- Serve as a primary point of contact for client inquiries by phone and emailn
n
- Draft and send correspondence on behalf of your advisorn
n
- Respond to routine client requests promptly and professionallyn
n
- Coordinate with clients on document collection, account updates, and follow-up itemsn
n
nCalendar & Meeting Managementnn
- Manage your advisor’s calendar including scheduling, confirmations, and adjustmentsn
n
- Prepare agendas and gather relevant client information ahead of meetingsn
n
- Document meeting notes and action items, and ensure follow-ups are completedn
n
- Maintain accurate records of all client interactions in the CRMn
n
nFiling & Document Managementnn
- Maintain organized digital and physical client files in line with compliance requirementsn
n
- Scan, index, and file documents promptly following client interactions and transactionsn
n
- Support your advisor with compliance documentation and record-keeping obligationsn
n
nWhat We’re Looking Fornn
- 2+ years of experience in a financial services administrative or client service role preferredn
n
- Working knowledge of registered account types (RRSP, TFSA, RESP, RDSP) is a strong assetn
n
- Experience with insurance carrier submissions and policy servicing is an assetn
n
- Exceptional attention to detail and follow-through you don’t let things fall through the cracksn
n
- Professional written and verbal communication skillsn
n
- Strong organizational skills with the ability to manage multiple priorities in a deadline-driven environmentn
n
- Comfortable with Microsoft Office (Outlook, Word, Excel) and CRM platformsn
n
