Title: General office worker (Canada Summer Jobs)

Reports to: Admin team

Compensation: $20.00 per hour

Employment Type: FT contract-35 hours per week (8 weeks June 15, 2026 to August 10, 2026 )

The General Office Worker will support administrative and data management functions across the John Howard Society of York Region. This position will contribute to the successful implementation of the agencys new case -management data system and ensure smooth day-to-day operations within the office.

Duties and Responsibilities

-Enter client information, program data, and service records into the new case management system with a high level of accuracy and attention to detail.
-Assist in reviewing, organizing, and updating both digital and physical files to ensure compliance with internal documentation standards and confidentiality requirements.
-Support staff by preparing documents, forms, and program materials as needed for meetings, intakes, workshops, and community-based services.
-Maintain organized filing systems, including scanning, uploading, labelling, and categorizing records for efficient retrieval and data integrity.
-Conduct quality checks on data entries and notify supervisors of any inconsistencies, missing information, or system errors.
-Provide general administrative support such as answering phones, responding to emails, greeting visitors, and directing inquiries to appropriate staff.
-Assist in scheduling appointments, coordinating meeting times, and preparing meeting rooms or shared office spaces.
-Support inventory management by monitoring office supplies and preparing requests for replenishment.




-Contribute to the transition and roll-out of the new case management system by helping staff navigate basic functions and reporting minor technical issues.
-Generate simple reports, summaries, or data lists from the system as requested to assist with program planning or service tracking.
-Uphold confidentiality and privacy standards at all times while handling client or agency information.
-Collaborate with various departments to ensure consistent data practices and support smooth communication across the organization.
-Participate in team meetings, training sessions, and supervision to support learning, skill development, and project progress.
-Provide additional administrative duties as assigned to support overall office operations and improve organizational efficiency.

Qualifications:

- Be between 15-30 years of age, at the start of the funded position.
- Be a Canadian Citizen, permanent resident, or someone to whom Refugee Status has been granted/conferred.
- Have a valid SIN
- Is not employed through other Canada summer job funds
- High school diploma or currently enrolled in a post-secondary program (e.g., social services, administration, or related field).
- Strong attention to detail with the ability to accurately enter and manage data.
- Basic computer skills, including familiarity with Microsoft Office (Word, Excel, Outlook) and ability to learn new systems quickly.




- Ability to handle confidential information with professionalism and discretion.
- Robust organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Good written and verbal communication skills for interacting with staff, clients, and community members.
- Ability to work both independently and as part of a team in a fast-paced environment.
- Comfortable performing administrative tasks such as filing, scanning, scheduling, and responding to inquiries.
- Problem-solving skills with the ability to identify errors or inconsistencies and report them appropriately.
- Positive attitude, willingness to learn, and openness to feedback and training.
