Client Service Professional – Office Administration

Responsibilities
- Attending to customer inquiries timely and professionally, whether by phone or walk‑in.
- Receiving and routing calls, providing directory assistance, and directing inquiries to the appropriate departments or individuals.
- Providing administrative support to the local partner and staff, coordinating and scheduling meetings with clients and for office functions.
- Handling various administrative tasks, including invoice submission for payment, letters, calendar management, meeting coordination, office duties, etc.
- Receiving and processing payments.
- Maintaining the front desk and reception area in an organized and qualified manner.
- Sorting and delivering incoming mail, cheques, and courier packages; posting outgoing mail.
- Assisting in setting up meeting rooms for training and various events.
- Maintaining the appearance and cleanliness of the kitchen and meeting rooms.
- Ensuring reception is open/closed appropriately, and security requirements are met each night and holiday.
- Providing administrative support where needed to the team, including document preparation, electronic filing, and maintaining a shared email inbox with another reception team.
- Performing other duties as required.

Qualifications
- Experience in a professional reception role and general administrative duties is advantageous.
- Business Diploma, Office Administration course, or similar is highly regarded.
- Ability to stay organized within a busy work environment.
- Ability to support high‑level management demands with strong attention to detail.
- Deadline‑aware and detail‑oriented with the ability to work independently.
- Exceptional time management, organization, and prioritization skills.
- Ability to work with and maintain confidentiality with sensitive information.
- Professional demeanor.
- Proficiency with Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Ability to work flexible hours and overtime as needed.
Compensation
The expected range of compensation for this role is $32,000–$56,000 annually.
