Payroll and Total Rewards Specialist
Responsible for supporting full‑cycle payroll activities of the Global Payroll Shared Services (GBS) team and local Total Rewards administration. While not directly processing payroll, this position provides essential local support, expertise, and guidance on all payroll‑related matters and serves as liaison with Finance and point of contact for internal and external audits. The role requires a deep understanding of pension fundamentals, tax regulations, and their impact on payroll adjustments.
Responsibilities
- Partner with the GBS team as an expert resource on payroll matters, inquiries, and escalations (including pension adjustments, tax implications, and legislative changes).
- Review bi‑weekly and monthly payroll prior to approval (requires knowledge of SuccessFactors and ADP).
- Monitor tax‑related changes and their impact on payroll calculations.
- Advise on taxable benefits, deductions, and exemptions.
- Manage local payroll correspondence—including incoming and outgoing mail (e.g., inactive, T4s, T2200s).
- Attend ADP Service Request meetings, year‑end and payroll operations calls; submit new service requests to ADP.
- Collaborate with HR and IT to implement system updates and improvements.
- Liaise with Finance to reconcile payroll data, resolve discrepancies, and ensure accurate financial reporting.
- Support year‑end payroll and advantages processing, reporting, and government filing.
- Participate in bi‑weekly year‑end meetings with ADP.
- Provide guidance on year‑end changes arising from ADP or government updates, assessing impact on local policies,
practices, budgets, and communications.
- Review draft tax slips (T4s, T4As, NR4s) before finalization.
- Assist with payroll communications (portal updates, notifications).
- Support year‑end processes such as taxable benefit reporting, renewal reports, and post‑retirement benefits reporting.
- Stay up‑to‑date with Canadian payroll laws, regulations, and guidelines to ensure compliance.
- Interpret and apply CRA guidance accurately and provide guidance to GBS payroll.
- Act as subject‑matter expert and local point of contact for external and internal payroll and pension audits; prepare necessary documentation during audits.
- Support administration of all benefits programs and initiatives (analysis, billing, enrollment/annual re‑enrollment, renewals, system testing, reporting).
- Administer wellness subsidy program.
- Manage pension statement mailing.
- Provide ad‑hoc support with finance and global requests.
- Support and analyse annual compensation planning cycle, including preparation, testing, in‑cycle and post‑closure activities.
- Ensure timely and accurate processing of purchase orders (PO) and invoices within HR.
Requirements
- Post‑secondary education in a related field; bachelor’s degree preferred.
- Demonstrated expertise in Canadian payroll through a recognised payroll designation (e.g., PCP, PLP).
- 5+ years of payroll experience processing and administering benefits or a similar role.
- Advanced working knowledge of Payroll/HR information systems and Microsoft Excel (SuccessFactors/ADP Global View preferred).
- Strong knowledge of Canadian payroll practices, standards, regulatory guidelines and tax laws.
- Experience with benefits and pension administration.
- Excellent communication and interpersonal skills.
- Ability to prioritise and apply urgency to critical payroll demands.
- Strong analytical and problem‑solving skills with keen attention to detail.
- Ability to maintain confidentiality and exercise discretion.
- Experience leading systems changes and upgrades within payroll.
- Bilingualism (English & French) preferred.

Location
