The Opportunity
As the Development & Data Assistant, you will play an important supporting role in the Vernon Jubilee Hospital (VJH) Foundation’s fundraising and donor engagement efforts. You are highly organized, detail-oriented, and thrive in a collaborative, mission-driven environment where both accuracy and relationships matter.
In this role, you will provide administrative and operational support across fundraising, donor stewardship, and communications, while also taking ownership of maintaining accurate donor records and supporting database integrity. You enjoy working behind the scenes to ensure everything runs smoothly. Whether that’s preparing donor communications, supporting campaigns, or generating reports that help guide decision-making.
You bring a strong attention to detail, a proactive approach, and an appreciation for the important role data plays in building meaningful donor relationships. This role is ideal for someone who enjoys balancing administrative coordination with data-focused work and wants to make a tangible impact on healthcare in their community.
Key Responsibilities
- Maintain the integrity of the donor database through accurate and timely data entry, record updates, and returned mail management, ensuring a high standard of data quality and reliability
- Generate, validate, and distribute donor reports and lists to support fundraising activities, communications, and informed decision-making
- Perform routine database maintenance, including duplicate management, data clean-up, and tribute processing, ensuring consistency and accuracy across records
- Support gift processing and donor record-keeping with a high degree of precision, recognizing the importance of accuracy in maintaining donor trust and compliance
- Administer recurring processes, including monthly giving updates (e.g., payment changes, expiring methods) and Next of Kin notifications, ensuring timely and accurate execution
- Support the ongoing development and optimization of database processes and projects
- Assist with donor stewardship activities by preparing correspondence, reports, and recognition materials,
ensuring accuracy and alignment with donor records
- Prepare and maintain donor lists for communications, campaigns, and recognition initiatives, ensuring data accuracy and appropriate segmentation
- Provide administrative and coordination support for fundraising campaigns and initiatives, including reporting, content collection, and logistical assistance
- Support communications efforts by assembling content for newsletters, email campaigns, and donor communications, ensuring alignment with organizational standards
- Maintain organized files and documentation to support reporting, audit readiness, and operational consistency
- Contribute to a collaborative team environment by supporting the Foundation’s mission, values, and operational needs, including occasional reception or administrative support

- Competitive total compensation package, including a salary range of $44,217 to $59,823 per year, extensive benefits, and participation in the municipal pension plan. Salaries are aligned with experience and qualifications, with the midpoint of the range reflecting full competency in the role.
