SALES COORDINATOR - CALEDON (ALTON), ON
The Sales Coordinator provides essential day-to-day support to the Sales team, assisting with lead management, client communications, contract preparation, and overall sales administration. This role is critical to ensuring the smooth and efficient operation of the sales process by maintaining accurate records in Salesforce, supporting prospect outreach initiatives, coordinating site visits, and preparing proposals and agreements.
As a key point of contact for prospective clients, the Sales Coordinator plays an important role in advancing leads through the pipeline while delivering a high level of service and professionalism. In addition, this role supports and actively contributes to the management of social and golf event inquiries, often overseeing the full lifecycle from initial inquiry through contract execution.
Responsibilities:
Sales Support & Prospecting
- Review and analyze the sales pipeline to identify past leads that did not convert into booking
- Execute targeted outreach campaigns using provided messaging to promote new amenities, services, and offerings
- Track outreach activity and maintain accurate engagement records within Salesforce
- Support prospecting initiatives, including qualifying and routing new leads to the appropriate Sales Manager, or managing opportunities independently where appropriate
CRM & Pipeline Management
- Maintain accurate and up-to-date records in Salesforce, including leads, accounts, and opportunities
- Monitor lead activity and ensure all communications and follow-ups are properly tracked
- Support pipeline reviews to ensure opportunities are current, accurate, and progressing effectively
Client Communication & Inquiry Management
- Serve as a primary point of contact for inbound inquiries via phone, email, and web channels
- Respond promptly to client questions regarding offerings, availability, and pricing
- Identify qualified opportunities and route them to the appropriate Sales team member
Social Event & Golf Tournament Sales and Coordination
- Own and manage social event inquiries (e.g., birthdays, celebrations, small gatherings) and select golf tournament inquiries from initial inquiry through to contract execution
- Lead client communications, including needs assessment, proposal development, and follow-up
- Prepare and present pricing proposals, contracts, and event details
- Manage the full event lifecycle, including event detailing, final event orders, and coordination with internal departments
- Act as the primary client contact, ensuring a seamless and high-quality client experience
Contract Preparation & Sales Documentation
- Assist in the preparation of proposals, contracts, event orders, and supporting documentation
- Support follow-up communications and ensure timely progression of opportunities
- Maintain organized, accurate, and up-to-date documentation across all active files
Site Visits & Client Engagement
- Support and coordinate site visits, property tours, and client presentations
- Lead tours when required, delivering a skilled, informative, and engaging experience
Sales Administration & Reporting
- Prepare and maintain sales reports, booking calendars, and client databases
- Support administrative functions including scheduling, document preparation, and internal coordination
- Ensure all sales materials, pricing, and documentation remain current and accessible
Qualifications:
- 2–4 years of experience in sales coordination, hospitality sales, or a related administrative role
- Experience with Salesforce or similar CRM systems preferred
- Strong organizational and time-management skills with a high attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong interpersonal skills with a customer-focused mindset
- Proficiency in Microsoft Office or Google Workspace
