Black Diamond Group’s Compensation, Payroll, & HRIS department has a full-time position for Payroll Lead.
This role is hybrid - in-office with 20% flexibility to work from home.
The Payroll Lead assumes responsibility for end-to-end payroll function across Canada (multiple provinces), the United States (multiple states), and Australia. This role is responsible for ensuring accurate, compliant, and timely payroll processing while driving process standardization, documentation, and continuous improvement.
Reporting to the Manager Compensation, Payroll and HRIS, the Payroll Lead provides functional oversight to two Payroll team members, acts as an operational back‑up for all payroll jurisdictions, and maintains primary responsibility for processing and oversight of the Australia payrolls. The role partners closely with Finance, HR, and external service providers to ensure payroll operations are aligned with organizational objectives, regulatory requirements, and internal controls.
Responsibilities
Payroll Operations & Compliance
- Oversee the accurate and timely processing of multi-country payroll (Canada, U.S., Australia).
- Serve as primary processor and subject matter expert for Australia payroll, ensuring compliance with all federal and state requirements.
- Provide hands‑on operational back‑up for Payroll Analysts across all jurisdictions to ensure business continuity.
- Ensure compliance with federal, provincial/state, and local payroll legislation and tax requirements.
- Review and approve payroll transactions including earnings, deductions, bonuses, commissions, equity transactions, and terminations.
- Oversee year‑end activities including T4s, RL‑1s, W‑2s, 1099s, Australian payment summaries, and related reconciliations.
- Maintain strong internal controls and audit readiness.
Process Standardization & Documentation
- Lead the documentation, standardization, and continuous improvement of payroll processes across jurisdictions.
- Develop and maintain comprehensive payroll procedures, controls, and process maps.
- Identify opportunities to streamline workflows and enhance operational efficiency.
- Establish service level standards and monitor payroll performance metrics.
Systems & Integration
- Serve as payroll systems subject matter expert, with preference for experience in ADP (Workforce Now, Streamline or equivalent platforms).
- Partner with HR and IT teams to ensure accurate integration between payroll, HRIS, time and attendance, and finance systems.
- Lead system enhancements, upgrades, and testing activities.
- Support automation initiatives and reporting improvements.
Payroll Accounting & Financial Partnership
- Partner closely with Finance on payroll accounting, general ledger (GL) mapping, reconciliations, accruals, and month‑end close activities.
- Ensure accurate payroll journal entries and GL account reconciliations.
- Support internal and external audits, providing required documentation and analysis.
- Oversee remittances, statutory filings,
and vendor payments.
Vendor & Stakeholder Management
- Manage relationships with payroll service providers and third‑party administrators.
- Act as primary escalation point for payroll inquiries and issue resolution.
- Collaborate with HR Business Partners and Recruitment teams on payroll impacts of organizational changes.
Acquisitions & Integration
- Support payroll due diligence and integration activities related to mergers and acquisitions.
- Lead payroll transitions, system migrations, and harmonization of policies and processes.
- Assess risk and ensure compliance during organizational restructuring.
Leadership
- Provide functional leadership, coaching, and development to two Payroll team members.
- Allocate work, establish priorities, and ensure cross‑training and business continuity.
- Foster a culture of accountability, accuracy, and service excellence.
Qualifications
- 7+ years of progressive payroll experience, including multi‑jurisdictional payroll.
- Minimum 2 years of supervisory, functional or project leadership experience.
- Strong knowledge of payroll legislation in Canada (multi‑province), U.S. (multi‑state), and Australia.
- Experience with ADP payroll platforms preferred.
- Demonstrated expertise in payroll accounting, GL reconciliation, and month‑end processes.
- Experience with HRIS integration and payroll system implementations.
- Prior involvement in mergers, acquisitions, or payroll transitions strongly preferred.
- PCP or PLP designation (Canada) or equivalent certification considered an asset.
