Flames Community Arenas is a premier multi-use recreation facility featuring three ice rinks, a full-service restaurant and lounge, concession, pro shop, and meeting spaces. Owned and operated by the South West Arena Society (a not-for-profit organization), the facility serves a diverse community of partners including educational institutions, sport associations, and local community groups.

Position Overview – Accounting & Administrative Assistant

This is a full-time, in office position (35 hours per week, Monday–Friday). Reporting to the General Manager, the Administrative Assistant is responsible for overseeing day-to-day administrative operations and financial processes. This role ensures efficient office management, accurate financial reporting, and excellent customer service while supporting the overall operations of the facility.

Key Responsibilities

Accounting & Financial Operations

- Process payroll for all employees using modern payroll systems; maintain accurate employee records and time tracking in compliance with Canadian employment standards
- Administer payroll remittances (CRA, benefits, deductions) in a timely and compliant manner
- Manage accounts payable and receivable, including invoicing, collections, and payment processing
- Reconcile bank and credit card accounts monthly; prepare financial summaries and reports for the Treasurer and leadership team
- Maintain accurate, up-to-date financial records using cloud-based accounting software (Sage)
- Support budgeting,



forecasting, and audit preparation processes

Administrative Operations

- Coordinate and maintain office systems, digital records, and document management (cloud storage, shared drives, etc.)
- Prepare, format, and distribute correspondence, reports, meeting minutes, and internal communications
- Manage inventory and procurement of office supplies and equipment
- Support contract administration, including tracking agreements, registrations, and facility bookings

Customer Service & Stakeholder Relations

- Respond to inquiries and resolve issues professionally, escalating when necessary
- Maintain positive relationships with partners, vendors, and the public

Program & Facility Support

- Assist with program administration, including registrations, fee tracking, and reporting
- Track daily cash receipts and revenues from multiple business units within the facility

Compliance & Process Improvement

- Ensure adherence to organizational policies, financial controls, and regulatory requirements
- Identify opportunities to improve administrative and financial processes through automation and best practices

Additional Responsibilities





- Provide general administrative and operational support as required
- Participate in team initiatives and continuous improvement efforts

Qualifications & Experience

- Diploma or degree in Accounting, Business Administration, or a related field
- Minimum 3+ years of experience in bookkeeping, accounting, or office administration
- Strong knowledge of Canadian payroll, accounting practices, and CRA compliance requirements
- Proficiency with accounting software (e.g., Sage) and Microsoft 365 (Excel, Outlook, Teams, SharePoint)
- Experience with digital tools such as cloud storage, e-signature platforms, and workflow systems is an asset
- Not-for-profit administrative experience an asset
- Excellent communication skills (written and verbal)
- Strong organizational skills with high attention to detail and accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Valid driver’s license and reliable transportation preferred
