Description
The Department of Paediatrics in the Cummng School of Medicine invites applications for a Program Manager, CEVIC. This Part‑time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.
The responsibilities of this position are for the effective implementation of the mission and vision of Centre of Excellence for Vaccine Information and Confidence (CEVIC). Constant shifting priorities require a high degree of professionalism, confidentiality, maturity and diplomacy for interactions with a broad spectrum of issues, learners, preceptors and organizations. This position works independently with minimal guidance and acts as a primary resource for all team members at CEVIC. The incumbent will be required to solve complex problems that may require applying new perspectives to achieve desired outcomes, and exercise sound judgement based on the analysis of multiple sources of information.
Reporting to the Principal Investigator.
Summary of Key Responsibilities
Program and Project Management
- Understands and supports priorities for the CEVIC operational team and directs actions for timely task completion
- Acts as a key resource for project key partners and community members
- Analyzes issues and defines project objectives, scope, implementation plans, resource requirements and timelines
- Develops and maintains positive working relationships with internal and external partners, physicians/clinics staff to ensure the positive reputation of the department is maintained
- Manages and monitors legal and contractual documents required for CEVIC
- Propose and implement new strategies for effective execution
- Review, update and re‑develop business systems and supporting processes as required
- Oversee special projects for the PI as required
Leadership
- Participates in strategic planning, budget planning and organization and policy development
- Work closely with the PI to ensure effective information sharing and a collaborative approach to integrating CEVIC operational and strategic plans and activities
- Development of internal processes to support the workflow of the CEVIC office
- Establish best business practices development and implementation of performance metrics, policies and procedures
- Provide direct leadership and management to staff who report to the position, ensuring training and competence in their roles
- Full-cycle recruitment, performance management, discipline and/or corrective action up to and including termination
- Coaches and mentors staff, conducting Mid-Year and Annual Performance reviews
Financial Management
- Prepares budget and financial planning documents and oversees all major budgets assigned through the grant process
- Oversee management of payments, related regulatory compliance and due diligence of vendors and third‑party contracts
- Monitors and ensures budget compliance
Qualifications / Requirements
- Undergraduate degree in Human Resources, Commerce, Finance or Business Administration (or equivalent) required
- A minimum of 1 year team leadership experience in a unionized setting preferred
- A minimum of 3 years of relevant and progressive experience in developing collaborative relationships with both internal and external stakeholders is required
- Strong knowledge of educational institutions, hospitals/clinical settings and/or medical education policies and procedures is required. Consideration may be given to applicants with a combination of experience and education
- A strong service orientation is considered highly desirable, as is the ability to build positive, long‑term, collaborative working relationships is critical to the role
- Ability to act decisively and to exercise a high degree of initiative and judgement
- Demonstrated experience successfully resolving complex issues and high degree of professional conduct in dealing with confidential and sensitive issues
- Strong knowledge of database management and proficiency with Microsoft Office Suite (Word, Excel, PowerPoint and SharePoint) is required
- Demonstrated ability to provide a consistent high level of service and strong organizational skills
- Demonstrated capability with grant management, budgets and financial processes
- Experience working with Government ministries and granting agencies
- Advanced experience in PeopleSoft
- Excellent written and verbal communication skills
- Solid understanding of the University environment and the Cummng School of Medicine
- Knowledge of the AUPE Collective Agreement
- Experience in HR processes within the post‑secondary environment
- Familiarity with project management methodology and execution
