The Opportunity

The Project Manager is responsible for managing and executing all project activities under the direction of the Director, Product Development for the flawless execution and maintenance of new and existing programs for our clients.

Reason for vacancy: This is a new vacancy within the team. The salary range is $70,000-$80,000 and final placement within the range depends on market conditions, internal equity, and the candidate's experience, skills, and qualifications.

Key Duties & Responsibilities

- Attend client meetings, calls, and product reviews to present updates and gather feedback.
- Maintain organized records of all launch materials, including briefs, specs, and approvals.
- Works with client to defines project scope & completes product brief for accurate opportunity vetting & executive strategy alignment.
- Leads all client communication relevant to full-cycle product launches & replenishment orders.
- Develop project timelines and ensure important operational milestones in the product launch cycle are met.
- Works directly with clients to stay within cost and critical path timelines.
- Anticipate and communicate possible risks to budget and timelines.
- Interface with all departments as customer needs arise regarding development, POs, & logistics.
- Track project milestones and deliverables and communicate to stakeholders.
- Collaborate with Creative & Purchasing to develop artwork, colour matched components and oversee the entire artwork process.
- Organize and lead client calls and provide timely and frequent project updates.
- Spearhead team meetings (cross functional) ensuring projects remain on the agreed and communicated timelines
- Downloads R&D; & Purchasing on client requirements for theoretical costs & informs QC on all client desired claims.
- Reviews physical packaging samples (received from Purchasing) with Operations for feasibility.
- Ensures cost targets are being met & that Sales can set pricing within the deadline.
- Coordinates custom lab work by R&D; following theoretical costing approval from customer.
- Ensures all samples meet client expectations & any caveats/revisions are called out to Sales & client.
- Evaluates approved standards on a regular basis for visible stability/quality concerns.




- Ensures quote is updated & shared with customer following formula approvals, packaging approvals, FW validation, BOM receipt, artwork completion, etc. or any change in scope.
- Reviews filled samples with PD Manager, Engineering, & Quality for risk mitigation.
- Initiates secondary packaging development (if applicable) following primary packaging approval & (tube) height confirmation (if applicable)
- Initiates pack out development following secondary packaging approval & receipt of client Quality/Vendor Manual
- Collects customer sample matrix & determines internal sample needs before requesting additional packaging samples from Purchasing (i.e. compatibility, pack out development, etc.)
- Coordinates artwork generation, reviews, & approvals with Creative, Purchasing, Quality, & customer following formulation & packaging approvals, including any Change Controls.
- Monitors the receipt of final customer approvals.
- Facilitates the Docket Launch following receipt of client PO & completion of development with Group Product Team.
- Ensure all approved formula & packaging standards are labelled and provided to Quality.
- Facilitates client PO entry & BOM set up (including client Part ID #’s, UPC codes, carton markings, GIN TIN #’s, etc.) by Group Product Team & Customer Service.
- Provides customer Fill & Assembly instructions to QC & facilitates shipping label approval.
- Monitors the actual vs. planned time to P.O. (conversion metrics)
- Monitors ongoing margin metrics (planned vs. actual)
- Monitors the end of the program by working with the Sales Rep & CS to ensure the optimal realization of inventory proceeds.
- Monitors End of Program Metrics (planed vs. actual)

Qualifications & Experience

- Degree or diploma with a focus on business, science, or another related field is required




- 3-5 years’ experience in a Project Coordinator/Manager role with a focus on project implementation is required
- Project Management Institute, PMP Certification or equivalent is an asset
- Exceptional organizational skills, including attention to detail and the ability to multi-task in a fast-paced environment
- Excellent communication skills, both written and oral
- Solid interpersonal skills and demonstrated ability to lead cross-functional teams
- Superior analytical, problem resolution and decision-making skills
- Customer service and results orientated with a passion for success
- Superior working knowledge of Microsoft Office and project management tools
- Experience in manufacturing, specifically in the cosmetics/personal care industry is an asset
- Ability to carry out tasks independently and with li8ttle supervision within a team environment
