Office Manager / Bookkeeper

nMilton, ON (relocating to Erin, ON within 6 months)n

Part-time permanent (minimum 3 days/week) | Hours: 9:00 AM – 5:00 PM | $35–$48/hr depending on experience

About the Company

nWe are a family-owned general contractor with over 30 years of experience specializing in municipal government infrastructure rehabilitation. We are a small, close-knit team, you won't just be a number here, but a valued member of the family. Our office is currently located in Milton, ON, with a new office in Erin, ON expected to be ready within approximately 6 months.n

About the Role

nWe are seeking a highly organized, detail-oriented Office Manager/Bookkeeper to manage the day-to-day administrative and financial operations of our business. This is a key role in our company; you will be the backbone of our office, ensuring everything runs smoothly from accounting and payroll to safety compliance and office administration. The ideal candidate is self-directed, comfortable wearing many hats, and brings a solid understanding of full-cycle bookkeeping in a small business environment.n

Key Responsibilities

nAccounting & Bookkeepingn

n
- Full-cycle accounting: Accounts Payable, Accounts Receivable, and account reconciliations
n
- Bank reconciliations and credit card statement reconciliations
n
- Payroll processing and ensuring compliance with applicable regulations
n
- Prepare and submit CRA monthly remittances: source deductions and corporate tax remittances
n
- Process quarterly government remittances: HST and WSIB
n
- Year-end processing of company books in preparation for accountant and taxation purposes
n
- Progress billing, invoice creation, and tracking
n
- Prepare financial reports and assist with budgeting and account analysis
n
- Collaborate with external accountants or auditors during reviews or audits
n
- Assist in developing internal controls to safeguard company assets
n

nOffice Administrationn

n
- Manage and organize filing systems; both digital and physical
n




- Manage day-to-day office functions (answering phones, stocking supplies, emptying recycling, preparing quotations and invoices)
n
- Research new products and screen for potential bid opportunities
n
- Manage equipment and fleet insurance policies
n
- Manage and organize the company's safety program, policies, and procedures
n
- Support scheduling, correspondence, and general administrative functions
n
- Ordering Job site locates (one-call)
n
- WSIB account management (e.g. clearance certificate renewal)
n
- Duties as assigned
n

nSkills & Experiencen

n
- Construction industry background is a strong asset
n
- Must have QuickBooks Desktop experience
n
- Proficient in Microsoft Word and Excel
n
- Experience with progress billing, invoice creation, and tracking
n
- Working knowledge of Adobe software for editing and updating PDF documents
n
- Strong bookkeeping knowledge: AP/AR, payroll, reconciliations
n
- Ability to work independently with minimal supervision in a fast-paced, small office environment
n
- Excellent organizational skills with strong attention to detail and accuracy
n
- Must be legally allowed to work in Canada
n

nCompensation & Benefitsn

n
- Pay rate: $35–$48 per hour, depending on experience
n
- Flexible schedule; minimum 3 days per week, hours 9:00 AM to 5:00 PM
n
- Paid statutory holidays
n
- Depending on location, potential mileage/travel reimbursement during the Milton to Erin transition period (up to ~6 months)
n

nImportant Note on LocationnOur current office is located in Milton, ON. The successful candidate must be able to commute to Milton for approximately 6 months while our new office in Erin, ON completes construction. We appreciate your flexibility and will support the transition.n
