Events Coordinator
nReporting to the Director of Sales and Events, the Events Coordinator manages event planning and execution from initial consultation through to post-event follow-up. You will be the main point of contact for clients and work closely with internal teams to ensure each event runs smoothly and meets expectations. This role also supports the growth of our catering business, with the opportunity to contribute to its development and gain exposure to revenue-generating initiatives as the program evolves.n
Responsibilities

- Act as the primary contact for clients and planners, managing all event details including logistics, vendors, rentals, floor plans, and tastings
- Lead client pre-event meetings and coordinate with internal teams to confirm all event requirements
- Own the BEO process from creation to execution. Ensure all event details including timelines, floor plans, rentals, and dietary requirements are accurate and up to date in Tripleseat. Communicate updates to kitchen and operations teams and prepare final materials for service
- Participate in regular BEO meetings to review upcoming events, staffing needs, and operational requirements
- Support the development of the catering and off-site events business, including assisting with current client inquiries, proposals, and logistics
- Build and maintain strong relationships with clients, suppliers, and internal teams to support a high standard of service and encourage repeat business
- Work closely with the Executive Chef and kitchen team to ensure all dietary needs and menu requirements are clearly communicated and executed
- Coordinate event-day logistics and be on site for key events, including weddings, to oversee setup and service
- Contribute ideas to improve processes, offerings,
and client experience as the catering program continues to grow
- Identify and resolve issues quickly to ensure smooth event execution
- Liaise with accounting to manage billing, deposits, and invoicing in a timely manner
- Support general administrative tasks for the events team as required
- Other event team administrative duties as required

Qualifications
n
- 1-2 years catering / event planning experience, preferably in a hotel setting
- Strong communication and interpersonal skills
- Highly organised with strong attention to detail
- Ability to manage multiple events and shifting priorities in a fast-paced environment
- Proficient in Microsoft Office including Word and Excel
- Flexible schedule with availability for evenings and weekends as required
- A proactive mindset with interest in contributing to business growth and new initiatives within our catering program
