MPAS Coordinator, College of Medicine (Regina)

Primary Purpose: The MPAS Coordinator Regina & Rural - South provides administrative and operational support for the delivery of the MPAS clinical year within the Regina campus and southern Saskatchewan rural locations. This position focuses on implementing established program processes, supporting Regina-based and rural learners and faculty, and ensuring alignment with program standards led centrally from Saskatoon. Working closely with the Learner Experience Coordinator and program leadership in Saskatoon, the Coordinator supports the implementation of clinical placements, learner evaluation processes, faculty teaching administration, and site-based onboarding activities at Regina. The role ensures consistent program delivery across sites by operationalizing established MPAS procedures within the Regina and southern Rural clinical locations.

Reporting jointly to the Regina Campus Manager and to the MPAS Program Manager, the Graduate Program Coordinator operates within a distributed academic and clinical environment. The position supports the implementation of clinical year (Year 2) processes that are centrally developed and overseen by the Learner Experience Coordinator and program leadership in Saskatoon.

The Regina and Rural Coordinator is responsible for site-level coordination and execution within Regina and for southern rural experiences, including evaluation tracking, teaching payment processes, placement logistics, and site onboarding. The role requires strong organizational skills, attention to detail, and the ability to build collaborative working relationships with Regina-based and Rural – South faculty and clinical partners.

The position works independently within established program frameworks and policies, ensuring operational consistency while addressing site-specific logistical needs.

Typical Duties or Accountabilities:

Clinical Placement Coordination (Regina & Rural - South)

- Coordinate clinical placements for Regina-based and Rural - South learners within designated MPAS clinical hubs working closely with the Master Scheduler for the Regina Campus or departmentally work with UGME Clerkship and PGME Administrators for specific rotations.
- Build and maintain strong relationships with preceptors, SHA, and affiliated clinical sites
- Manage placement schedules, contracts, and compliance requirements
- Assist learners in preparing for clinical placements by providing guidance on expectations, policies, and site-specific requirements
- Track and report clinical placement data and support resolution of placement-related issues
- Support Year 2 site onboarding and orientation processes for Regina learners
- Support Academic sessions with room bookings, IT support and on-site support as needed.
- Manage Exam invigilation where needed.

Learner Evaluation & Assessment Coordination

- Coordinate collection and tracking of learner evaluations, including EPA documentation and One45 processes
- Monitor submission of rotation evaluations and follow up with faculty and preceptors as required




- Generate evaluation reports for program leadership
- Collect and upload and manage program and/or accreditation standards here per Syllabi timelines and standards
- Maintain accurate and confidential learner records

Faculty & Teaching Administration

- Manage activity-based teaching payment processes for the Regina hub
- Coordinate teaching appointment documentation and processes for Regina-based faculty
- Track teaching contributions and ensure timely processing of payment documentation
- Serve as administrative liaison between Regina faculty and the central MPAS office
- Ensure contract processes are followed for Rotation Coordinators and other faculty leadership roles in Regina

Program Evaluation & Accreditation Support

- Assist with Regina site data collection related to program evaluation
- Support quality improvement initiatives by tracking trends and operational feedback
- Assist the MPAS Educational Program Specialist with accreditation documentation and coordination
- Maintain organized records in support of accreditation standards

Communication & Site Coordination

- Serve as the primary administrative contact for the Regina hub
- Facilitate communication between Regina learners, faculty, clinical sites, and the central MPAS office
- Coordinate site-based meetings, events, and academic activities
- Support special projects and operational initiatives as assigned
- Work with partners in all MPAS locations to build instruction manuals as the work progresses and changes with the program, and build process documents to support the work for a growing program.
- Connect learners with Student Affairs Coordinator or other departmental support as needed.
- Support any Access and Equity services role that is needed for learners in Regina, and rural south as requested by MPAS Program Manager.

- Perform other duties as assigned to support the overall objectives of the MPAS program.

Education: Post-secondary education in a relevant field as it pertains to this position is required. An undergraduate degree is strongly desired – a combination of education and applicable experience may be considered. A master’s degree in a related field, Education Administration, Education, Adult Education, Human Resources, Social Work or Psychology) is preferred.

Experience: A minimum of three years’ relevant experience in administration support is required. Knowledge of University of Saskatchewan programs would be considered a solid asset. Working knowledge of SharePoint, experience with post-secondary program management, and/or graduate program administration are also considered strong assets.

judgment and decisiveness; ability to be self-directed and take initiative; ability to research and make informed decisions around the Colleges use of central support systems; relationship building attributes; ability to work independently as well as collaboratively; effective interpersonal and communication skills, both written and verbal; demonstrated strong organizational and time management skills; proven ability to work in a high volume setting and manage multiple projects with competing demands and deadlines; ability to maintain meticulous attention to detail and ensure accuracy; proven ability to handle interactions with tact, diplomacy and intercultural sensitivity and maintain confidentiality; ability to recognize and implement changes in policies/procedures which result in the improved delivery of administration; demonstrated ability to interact effectively with learners, university and health authority personnel and the general public; proficiency in computer skills, and demonstrated expertise with Microsoft Office software (Word, Excel, PowerPoint and Outlook), is essential. Experience with Banner Document Management, Degree Works, and/or Crystal Reports are considered strong assets.
