FINANCIAL CONTROLLER

Knox Contracting Group

Location: Nanaimo, BC | Full-Time, Permanent

Compensation: $105,000-$136,000 annually, based on experience, plus company benefit package.

Help Build the Financial Foundation of a Growing Construction Company.

Knox Contracting Group is looking for an exceptional Financial Controller to join our senior leadership team.

We're a growing Vancouver Island construction company specializing in luxury custom homes, commercial construction, medical and dental facilities, restoration, and remote community projects.

We have built our reputation on three core values: Trust, Integrity, and Transparency.

As our company continues to grow, we recognize that exceptional construction requires equally exceptional financial management.

We're looking for someone who can take complete ownership of our financial operations, build strong systems, provide meaningful insight into our business, and help guide the company through its next stage of growth.

This is not simply a bookkeeping or accounting position.

We're looking for a financial leader who understands the construction industry, thrives on accountability, and takes pride in making sure every dollar is accounted for, every project is financially monitored, and every decision is supported by accurate information.

If you're the type of person who sees a problem and fixes it, creates systems rather than works around them, and enjoys being a trusted financial partner to business leadership, we'd like to meet you.

The Role

Reporting directly to the Founder/CEO, the Financial Controller will be responsible for overseeing and managing all financial functions of Knox Contracting Group.

You will work closely with our leadership team, operations managers, project managers, and administrative staff to ensure strong financial performance across all divisions.

Our ideal candidate is both strategic and hands-on. Someone who can prepare a financial forecast in the morning, investigate a project's profitability in the afternoon, and identify opportunities to improve our systems along the way.

You'll have the autonomy and authority to improve how we manage our finances, supported by a leadership team committed to building a stronger, more efficient company.

Key Responsibilities1. Financial Leadership & Strategic Planning

- Take ownership of the company's overall financial management, reporting, controls, and performance.
- Work directly with the Founder/CEO and senior leadership to develop financial strategies supporting sustainable growth.
- Prepare annual operating budgets, financial forecasts, and long-term financial plans.
- Monitor company-wide revenue, overhead, gross margins, net profitability, and cash flow.
- Provide leadership with accurate and timely financial information to support business decisions.
- Identify financial risks, inefficiencies, and opportunities to improve profitability.
- Establish and monitor financial KPIs across the company and individual divisions.
- Participate in leadership meetings and contribute to major financial and operational decisions.

1. Project Financial Management & Job Costing

Construction job costing is one of the most critical responsibilities of this position.

- Establish and maintain accurate, real-time financial reporting for all active construction projects.
- Oversee project budgets, actual costs, committed costs, projected costs to complete, and forecasted final profitability.
- Work closely with project managers to ensure every project has an accurate, regularly updated financial forecast.
- Implement and maintain consistent budget-versus-actual reporting across all projects.
- Monitor project gross margins and identify potential cost overruns before they become significant problems.
- Ensure labour, materials, subcontractor costs, purchase orders, and change orders are properly allocated to each project.
- Review project profitability through all stages of construction.
- Support project managers with financial analysis, cost control, and forecasting.
- Provide leadership with a clear, consolidated financial picture of all active projects.
- Monitor work in progress (WIP), earned revenue, overbillings, underbillings, and financial exposure.

Our expectation is simple: We should know where every project stands financially, at any given time.

1. Accounting Operations & Financial Controls

- Oversee all day-to-day accounting operations, including accounts payable, accounts receivable, payroll, general ledger, bank reconciliations, and financial reporting.

- Manage and support administrative and accounting personnel, establishing clear responsibilities and performance expectations.
- Ensure vendor invoices, purchase orders, subcontractor invoices, and employee expenses are accurately coded, approved, and processed.
- Oversee monthly reconciliations, accruals, adjusting entries, and financial close procedures.
- Establish and maintain internal financial controls, approval processes, and accountability.
- Ensure consistent and accurate financial information across all company systems.
- Oversee financial records, documentation, and compliance requirements.
- Maintain financial accuracy while continuously improving administrative efficiency.
- Manage relationships with external accountants, financial institutions, insurance providers, and other financial partners.

1. Cash Flow, Accounts Receivable & Accounts Payable

- Develop and maintain rolling cash flow forecasts to support daily operations and future growth.
- Monitor company cash positions, project funding requirements, and upcoming financial obligations.
- Oversee customer invoicing, progress billings, accounts receivable, and collections.
- Work with project managers to ensure billing is accurate, timely, and aligned with contract requirements.
- Monitor overdue receivables and establish proactive collection procedures.
- Oversee accounts payable and ensure vendor and subcontractor payments are properly managed.
- Monitor contractual payment terms, holdbacks, and project-related financial obligations.
- Support the management of banking relationships, credit facilities, bonding requirements, and working capital.
- Ensure the company has clear visibility into both current cash flow and anticipated future requirements.

1. Payroll, Taxation & Compliance

- Oversee payroll administration, employee compensation, benefits, vacation accruals, and related financial obligations.
- Ensure payroll information and project labour allocations are accurate and reconciled.
- Oversee GST, PST, payroll remittances, WorkSafeBC-related reporting, T4s, T5018s, and other applicable financial filings.
- Coordinate with external accountants on corporate tax planning, annual financial statements, and year-end reporting.
- Ensure financial processes comply with applicable accounting standards, legislation, and contractual obligations.
- Maintain proper documentation and financial reporting to support audits, reviews, insurance, bonding, and financing requirements.

1. Financial Systems, Technology & Process Improvement

We're committed to using technology to improve efficiency, accuracy, and accountability. Our current systems include QuickBooks Online, Buildertrend, and QuickBooks Time (formerly TSheets).

The Financial Controller will play a major role in improving how these systems work together.

Responsibilities include

- Evaluate and optimize our current financial software and reporting processes.
- Establish reliable cost tracking and reporting between accounting and project management systems.
- Develop standardized financial reporting templates, dashboards, and procedures.
- Reduce manual data entry, duplication, and unnecessary administrative processes.
- Ensure project managers have access to accurate, understandable financial information.
- Implement consistent financial workflows and reporting deadlines across departments.
- Identify opportunities for automation and improved system integration.
- Train and support staff in financial procedures and accountability expectations.

We aren't looking for someone who simply maintains existing processes. We want someone who will challenge them, improve them, and build better ones. What We're Looking ForRequired Experience & Qualifications

- Minimum 5 years of progressive accounting or financial management experience, including significant responsibility for financial reporting and controls.
- Strong experience with construction accounting, project costing, and financial forecasting.
- Demonstrated experience managing full-cycle accounting operations.
- Strong understanding of construction contracts, progress billing, holdbacks, work in progress, and project profitability.
- Advanced proficiency with QuickBooks, Excel,

and financial reporting systems.
- Experience implementing financial processes, systems, and internal controls.
- Excellent analytical, organizational, and problem-solving skills.
- Strong communication skills and the confidence to work directly with business owners, senior management, and project teams.
- Proven ability to manage competing priorities in a quick-paced, multi-project environment.

- Previous experience as a Financial Controller, Construction Controller, or senior accounting leader.
- Experience with Buildertrend or comparable construction project management software.
- Experience managing financial operations across multiple construction divisions or business entities.
- Experience supporting a growing, privately owned construction company.

The Person Who Will Thrive Here We're looking for someone who:
- Takes ownership. You don't wait to be told something is wrong. You identify it, address it, and follow through.
- Understands construction. You know that financial success is determined project by project, not just by reviewing a monthly income statement.
- Values accuracy. You take pride in reliable numbers and understand the importance of financial transparency.

- Builds systems. You enjoy creating efficient, repeatable processes that allow a business to scale.

- Communicates clearly. You can translate complex financial information into practical insights that operational teams can understand.
- Wants to make an impact. You're motivated by the opportunity to help build and shape a successful company.

Above all, we're looking for someone who treats the company's financial health with the same care and commitment they would their own.

- Consistent financial visibility across every active project.
- Clear project budget-versus-actual and forecast-to-completion reporting.
- An established cash flow forecasting and management process.
- Stronger controls over accounts payable, accounts receivable, and project costs.
