Fawn Bluff Private Lodge

Campbell River

Fawn Bluff Residences Ltd.

Bute Inlet, British Columbia

Fawn Bluff is a private coastal wilderness retreat located in the heart of Bute Inlet on British Columbia's central coast.

Our mission is to create exceptional guest experiences while acting as responsible stewards of the land, waters, wildlife, and cultural heritage that make this place unique. Through our partnership with the Homalco First Nation, we strive to build a destination where hospitality, conservation, culture, and community come together.

This is not a traditional lodge position.

Fawn Bluff is a remote property with extensive infrastructure, marine operations, accommodation facilities, wilderness recreation areas, vehicles, equipment, and ongoing improvement projects. The successful candidate will play a key role in helping care for the property while assisting in the delivery of world-class guest experiences.

Core Responsibilities

Guest Logistics, Itineraries & Experience Support

- Bespoke Itinerary Curation: Collaborate with Sales and Marketing, General Manager, and other Guest Experience leaders to design personalized activity timelines.
- Preference Sheet Management: Compile, track, and distribute highly detailed guest preference sheets (dietary, lifestyle, and housekeeping requirements) to the team.
- Activity & Administrative Booking: Provide administrative and booking support for the guests’ activities, ensuring all third-party excursions, permits, waivers, and gear rentals are secured.
- Post-Trip Accountability: Coordinate, document, and archive post-trip feedback reports to identify service gaps, track performance trends, and elevate the guest experience week-over-week.
- Stand-in for the GM as lead host with guests as needed.

Team Communication, Governance & Systems Building

- Operational Rhythm & Governance: Schedule, organize, and book all management and team meetings. Attend all leadership sessions to capture meeting notes, distribute action items, and track them to completion.
- Communications: Manage internal announcements and updates across the on and off site team, keeping the staff aligned with the GM’s priorities.

Support GM in creating a Team Communications Protocol to support intentional use of email, chats, and other communication platforms.
- Process Refinement: Support department leads with transforming the ad-hoc workflows into clear Standard Operating Procedures (SOPs).

Transportation and Staff Scheduling

- Build, maintain, and own the definitive weekly in/out transportation manifest, coordinating seamlessly with aviation vendors, ground transit, and maritime logistics for guest, staff and contractor travel to and from site.
- Maintain staff rotation calendar and room register, ensuring the staff room capacity is not exceeded.

Human Resources & Financial Operations Support

- Staff Onboarding: Formalize and execute the onboarding process for new employees, including contract compliance, onboarding forms, lodge orientation, and staff housing allocations.
- Payroll & Invoicing Administration: To support the Accounting and Payroll Manager, gather staff hours, organize and verify vendor invoices, track expenses, and prepare data for the GM’s sign-off.
- Keep personnel files including certifications up to date.
- Support the GM with project cost tracking: commitments, invoices, budget variances.
- Support the recruiting process with department leads, including job postings, interview scheduling, and travel to site if needed.

Vendor Management & IT Infrastructure Liaison

- Vendor Relationship Management: Maintain and nurture relationships with existing suppliers, transport networks, and remote contractors, while building a robust backup network to ensure supply chain resilience.
- IT Systems Coordination: Act as the first point of contact for all staff IT needs and coordinate directly with remote IT support.

Technical Tool Proficiencies

- The Lodge Manager is expected to be highly proficient in modern digital workspaces to maintain operational clarity between the high and low seasons.
- Team Communication & Collaboration: Mastery of messaging platforms like Microsoft Teams (specifically managing workspace channels, user groups, and integrations) alongside video conferencing software (Microsoft Teams, Zoom, Google Meet).
- Cloud Workspaces & Document Control: Advanced skills in Microsoft 365 to maintain version-controlled manifests, guest itineraries, and digital filing systems.

Qualifications & Traits

Required

- Experience: 3–5+ years in coordination, administration, or operations ideally in lodge or remote site (e.g., lodges, yachts, or boutique estates).
- Start-Up Mindset: Comfort with ambiguity and eagerness to transition operational "firefighting" into smooth, documented processes.
- Communication & Discretion: Exceptional written and verbal communication skills; discretion when handling private owner data and high-net-worth guest details.
- Highly organized and comfortable with budget and invoice tracking.
- Seasonal Flexibility: Ability to live and work on-site in a remote, close-knit workplace during the peak summer season, transitioning smoothly to a partially remote work environment in the winter.

Desirable

- Understanding of the BC Employment Standards Act.
- Experience working respectfully with Indigenous Nations.

Personal qualities

- Solution-finder and resourceful: the team's Swiss Army knife.
- Service-minded toward the whole team, not just the GM.
- Reliable, discreet, and calm under pressure.
- Able to chase follow-ups without friction.

Working Conditions

- Ability and availability for travel to and from site by air and water
- Work may be performed indoors or outdoors in all weather conditions
- Work may require use of stairs, walking over rough terrain, exposure to elements or wildlife
- Some lifting may be required in the course of duties, up to 50lbs

Pay: $90,000.00-$105,000.00 per year
