Work Schedule

- Monday to Friday: 6:00 AM to 2:00 PM
- Sunday: 6:00 AM to 12:00 PM

Position Summary

We are seeking a highly motivated and proactive Inventory Coordinator to join our team in Toronto. This role is critical to our operational success and requires a self starter who thrives in a fast paced environment. The ideal candidate is not a desk bound administrator, they are a dynamic individual who is actively present on the floor and in the coolers, taking ownership of inventory accuracy and driving process improvements. You will be responsible for ensuring the integrity of our inventory data, reconciling discrepancies, and supporting cost control procedures to prevent loss.

Key Responsibilities

Inventory Management & Reconciliation

- Actively patrol the floor and coolers to observe operations, verify product handling, and ensure compliance with inventory control procedures
- Proactively reconcile physical inventory counts with system records on a daily and weekly basis, investigating and resolving all discrepancies
- Verify the accuracy of all receiving and transfer entries in the system, ensuring shippers have processed products correctly
- Investigate and resolve product discrepancies, liaising with the Warehouse Manager to confirm inventory counts and address root causes
- Keep meticulous track of all inventory adjustments and communicate findings to the Inventory Manager and Team

Data & Systems Management

- Accurately enter all orders into the system for the following day and monitor for any changes, communicating with other departments as needed
- Update and maintain accurate data in the inventory management system, including the details of inter warehouse transfers and storage coolers
- Close inventory on a daily and weekly basis, ensuring all records are error free




- Prepare and maintain reports using Excel, including the daily distribution of final inventory reports

Operational Support & Communication

- Organize and scan receiving paperwork, passing hard copies to the accounting team
- Respond to product issues and make necessary corrections in the system in a timely manner
- Serve as a key point of contact for inquiries from warehouse managers, providing accurate and prompt information
- Assist with special projects, including the regular updating of applicable Standard Operating Procedures (SOPs)
- Act as a back up for other administrative positions when required

Qualifications & Skills

- Minimum two (2) years of experience in inventory management, preferably within a warehouse or production environment
- A proven self starter with the ability to work independently and take initiative
- Must be physically present and active on the warehouse floor to monitor operations and verify inventory
- Intermediate or advanced skills in Excel
- Robust attention to detail and a meticulous approach to reconciliation and data entry
- Excellent organizational and time management skills, with the ability to handle multiple projects and meet tight deadlines
- Excellent verbal and written communication skills, with the ability to interact effectively with team members at all levels
