Customer Excellence Coordinator / Administrative Assistant

Sound CPA | Owen Sound, Ontario

Full-time | In-office

Help our clients feel looked after—and our team stay organized.

At Sound CPA, we help individuals, business owners, and organizations navigate their accounting and tax needs. As our firm grows, we’re looking for a friendly, organized, and dependable Customer Excellence Coordinator / Administrative Assistant to help deliver a welcoming, professional client experience.

You’ll be a central point of contact for clients and an essential part of our daily operations. From welcoming someone into the office to coordinating documents, appointments, and follow-ups, your work will help keep client files moving and make life easier for the people we serve.

You don’t need to be an accountant to make a meaningful contribution at an accounting firm. If you enjoy helping people, bringing order to a busy day, and following through on details, this could be a great fit.

What you’ll do

Create an excellent client experience

- Welcome clients and visitors with warmth and professionalism.
- Answer calls and emails, respond to routine questions, and direct technical questions to the appropriate team member.
- Coordinate appointments, document drop-offs, and pickups.
- Help clients understand what information we need and how to provide it securely.
- Keep clients informed about next steps and follow up on outstanding requests.

Keep client work organized and moving

- Set up new clients and maintain accurate contact details and records in Karbon, our client and workflow management system.
- Receive, scan, organize, and securely store client documents.

- Check incoming packages against established checklists and promptly follow up on missing information.
- Update task statuses and flag delays or outstanding items to the team.
- Coordinate electronic signatures and monitor completion.
- Assemble and deliver completed client packages following firm procedures.

Support billing and office administration

- Prepare and issue invoices as directed, process payments, and maintain accurate records.
- Assist with payment reminders and routine billing inquiries.
- Support authorized electronic filing processes after required approvals and signatures are in place.
- Maintain office supplies, shared spaces, and administrative checklists.
- Support partners and staff with scheduling, correspondence, and day-to-day coordination.
- Suggest practical improvements that reduce delays and make the client experience smoother.

What you bring

- Experience in administration, customer service, reception, or a similar role.
- A friendly, professional communication style in person, by phone, and in writing.
- Strong attention to detail, particularly when handling names, documents, dates, and amounts.
- The ability to prioritize competing requests and stay organized during busy periods.
- Reliable follow-through—you track outstanding items and take ownership of completing them.

- Sound judgment and discretion when handling confidential information.
- Comfort using Microsoft Outlook, Word, Excel, and digital document systems.
- Willingness to learn new software and follow established procedures.
- A collaborative approach and the confidence to ask questions when something is unclear.

Experience in an accounting, legal, financial services, or other professional office is an asset. Familiarity with Karbon, QuickBooks Online, or electronic signature software is helpful but not essential. Why work at Sound CPA?

Build relationships with people in your community.

You’ll get to know local business owners, families, and organizations and help make an often unfamiliar process easier for them.

Do work with a clear purpose.

A timely follow-up, an accurate document package, or a welcoming conversation can make a real difference to a client’s day.

Develop valuable professional skills.

You’ll gain experience in client service, workflow coordination, billing, document management, and the operations of a professional firm.

Have a visible impact on a growing team.

You’ll work closely with our partners and accounting staff, see how your contributions help the office run, and have opportunities to suggest improvements.

Build a career in administration and client service.

This role offers the opportunity to deepen your responsibilities as you learn the firm’s systems and develop your strengths
