POSITION DESCRIPTION The Donor Relations Coordinator is responsible for the administrative and data foundation of YWCA Regina’s fundraising operations. The incumbent maintains the Raiser’s Edge database, processes and receipts all gifts, and ensures that every donor receives a prompt and accurate acknowledgement.

The Fund Development team relies on this work. The Senior Director of Development, the Director of Annual

Development and the Manager of Events plan their campaigns, events and donor relationships using the data maintained in this role. The Donor Relations Coordinator provides these team members with the lists, reports and records they require.

The ideal candidate is personable, curious and highly organized; someone who takes pride in accuracy and attention to detail, manages competing requests from multiple colleagues effectively, and is committed to providing every donor with exceptional experience.

KEY RESPONSIBILITIES

Database Management

- Oversee Raiser's Edge and the integrity of its data, so the team can rely on it to guide fundraising and donor

cultivation.
- Set and maintain data entry standards: gift coding, campaign and appeal codes, constituent codes and source

tracking, so every gift is credited to where it came from and no donor or dollar is counted twice.
- Run regular data clean-up: duplicates, addresses, deceased and do-not-contact records, and lapsed donor flags.
- Import event and peer-to-peer platform data into Raiser's Edge after each event.

Gift Processing, Receipting and Reconciliation

- Process all gifts accurately and promptly, including monthly, tribute, event and corporate gifts.
- Issue official tax receipts that meet Canada Revenue Agency requirements.
- Administer monthly giving: new sign-ups, changes, failed payments, and anniversaries.
- Reconcile Raiser's Edge with YWCA Regina's Finance department every month, so donations are accurately

reflected in the financials.

Acknowledgements and stewardship

- Send timely, personal thank-yous for every gift, following the donor stewardship plan.
- Track stewardship touchpoints in Raiser's Edge, including first and second gifts, monthly donor anniversaries and

recognition.
- Respond to donor questions about their gifts, receipts and records, and help donors complete their gifts.

Executive and Leadership Support

- Keep major-gift and corporate prospect records, contact reports, and next steps up to date.
- Prepare donor profiles and briefing notes before meetings.
- Communicate with donors as directed to update contact information, extend invitations, etc
- Assist in stewardship as directed with touchpoints such as sending anniversary cards, dropping off holiday treats,

etc.

Operations and Administrative Support

- Support successful events by communicating with event donors as directed by the Manager of events.
- Support event execution with administrative organization.
- Research partners and vendors as requested.
- Manage deliveries, pickups, and other offsite logistics during event times.

WHAT WE’RE LOOKING FOR

Experience

- Three or more years of experience with a database or customer relationship management (CRM) system, keeping

detailed, accurate records.
- Familiarity with fundraising campaigns,

events and donor stewardship practices.

Knowledge, Skills & Abilities

- Strong attention to detail and high follow-through.
- Strong Excel skills, including sorting, filtering, and building simple reports.
- Proficiency in Microsoft 365 apps, with the ability to learn new software quickly.
- Excellent organization and time management, with the ability to balance requests from several colleagues.
- Clear, warm, written, and verbal communication, with a customer service focus.
- Maintains confidentiality and uses a high level of discretion with donor information.
