Role summary The Leasing and Operations Manager runs leasing and day-to-day operations across every Patry Inc. residential portfolio, including Williamsville and Kenlar, and leads the lease-up of new construction buildings. The role owns occupancy, the leasing team, and the operating routines that keep units rented, rent collected, and buildings running.
In practice, this person is accountable for three things: keeping stabilized buildings full and paying, filling new buildings on schedule, and making sure the leasing, admin and maintenance teams work from the same plan.
Key responsibilities
Leasing (stabilized portfolio)
- Own occupancy and vacancy targets for each building, and report weekly on vacancies, notices to vacate, and upcoming availability
- Lead the leasing team: set showing schedules, review lead response times, and coach agents on conversion
- Approve or decline applications within set timelines, applying consistent screening criteria that comply with the Ontario Human Rights Code
- Set and recommend asking rents using market comparables, unit condition, and demand
- Manage lease renewals and rent increases under the Residential Tenancies Act, including correct notice timing and guideline or exempt increases
- Keep leads and leasing files complete in Yardi, RENTCafe, and CRMIQ.
- Manage listings, photos, and advertising across ILS sites, social media, and the company website
New construction lease-up
- Build the lease-up plan for each new building: pre-leasing start date, absorption targets by month, pricing by unit type, and any incentives
- Set up the building in Yardi and RENTCafe before first occupancy: unit mix, rent schedules, amenities, and parking
- Coordinate with Construction and project team on occupancy dates, deficiency walkthroughs, and model or show suite readiness
- Plan and schedule move-ins around occupancy permits, elevator bookings, and trades still on site
- Track leasing velocity against plan each week and adjust pricing or marketing when the building falls behind
Operations
- Work with Maintenance for unit turnovers end to end: move-out inspection, scope of work, scheduling trades, and ready-to-rent sign-off
- Handle escalated tenant issues and complaints relating to leasing or move-in experience, and keep a written record of how each one was resolved
People and reporting
- Hire, train, schedule, and review the leasing and administration staff
- Prepare and manage building operating budgets for leasing and marketing costs
- Report weekly and monthly to Manager on occupancy, leasing activity, arrears, turnover time, and lease-up progress
- Write and update the team's standard procedures for leasing, move-ins, move-outs, and renewals
Qualifications Must-haves
- 5 or more years in residential property management, with at least 2 years leading a leasing or operations team
- Working knowledge of the Ontario Residential Tenancies Act and Landlord and Tenant Board process, including N4, N12 and renewal notices
- Experience with property management software such as Yardi, RENTCafe, or similar
- Comfortable building and reading budgets, rent rolls, and leasing reports in Excel
- Explicit written communication with tenants, staff, contractors, and ownership
- Valid Ontario driver's licence and access to a vehicle for property visits
Assets
- Direct experience leasing up a new purpose-built rental building
- Post-secondary education in business, real estate, or a related field
- An IREM designation such as Accredited Residential Manager (ARM) or Certified Property Manager (CPM), or progress toward one
- Experience representing a landlord at LTB hearings
- Familiarity with Kingston-area rental market and student housing demand
Pay: $90,000.00-$100,000.00 per year
