Run the desk for a $600M private wealth practice. The advisors sell and advise; you make sure every trade, account and file is done right.
The Opportunity
Our client is an established private wealth management practice in Ottawa, part of one of Canada’s largest independent wealth management firms, managing roughly $600 million for high-net-worth families and business owners. The practice is in growth mode under a young partner group that is taking over from the founding advisors, and the advisors have been handling their own processing for the past year while they rebuilt the operation. That stops now. They need a dedicated, licensed Operations Associate who owns trade processing, account openings and client documentation so the advisors can get back in front of clients. This is an in-office role at the corner of St-Laurent Blvd., with heated indoor parking.
Role Snapshot
- Location: Ottawa, Ontario (St-Laurent Blvd.)
- Work Model: In office, Monday to Friday, 9:00–5:00 or 8:30–4:30
- Employment Type: Full-time, salaried employee
- Compensation: $75,000–$85,000 base salary, depending on experience and licensing
- Advantages: Health and dental, 2 weeks paid vacation, summer Fridays off, ~10 extra paid days over the Christmas holidays, 3 sick days, heated indoor parking
- Language: Fully bilingual, English and French, written and spoken
What You’ll Own
- Process all client account transactions: contributions, withdrawals, pre-authorized contributions and account rebalancing.
- Complete and submit applications and account-opening paperwork for new clients and new business.
- Gather client information on behalf of the advisors and chase down anything missing until the file is complete.
- Enter data and generate client reports; follow up on client inquiries and resolve issues directly.
- Maintain complete, compliant client files and keep documentation in good standing.
- Update client files for changes and life events.
- Other administrative support as the practice needs it.
What You Bring
- Minimum 3 years in an administrative or operations role in banking, wealth management or financial services. Experience supporting a financial advisor or planning team is ideal.
- Mutual funds licence (CIRO mutual fund dealing representative) in hand, or the ability to obtain it within roughly 90 days of starting. Licensing is a condition of the role.
- Canadian Securities Course (CSC) or Investment Funds in Canada (IFC) completed, an asset.
- Working knowledge of investment processes, account types and transaction procedures.
- Fully bilingual in English and French with strong written and verbal communication.
- University degree or college diploma in finance, business administration, office administration or a related field, strongly preferred.
- Highly organized, precise and comfortable with compliance. You know that in a high-net-worth practice, errors are expensive.
Why This Role
- Pay that competes with the public sector: $75,000–$85,000 base plus benefits for an operations seat.
- A dedicated role with a clear mandate. You are the person who runs the desk, not a floater.
- A young, ambitious partner group with a long runway. They are building for the next 20 years and want someone who grows with the practice.
- Summer Fridays off and roughly 10 extra paid days at Christmas on top of your vacation.
Not the Right Fit If
- You are looking for an advisor seat. This is an operations role, and it stays one for at least the first couple of years.
- You need remote or hybrid. The role is in office five days a week.
- You are not fully bilingual.
