Job Summary

The Logistics Operations Coordinator is part of a team that is responsible for managing end-to-end air and ocean freight operations for both import and export shipments. This role ensures timely, compliant, and cost-effective movement of goods while providing proactive communication and high-quality service to customers. The coordinator handles all operational documentation, coordinates with carriers and partners, and monitors shipments from booking through final delivery.

Key Responsibilities

- Coordinate and manage air and ocean freight shipments for imports and exports

- Book shipments with airlines, shipping lines, and other service providers

- Prepare, review, and process all required shipping documentation, including but not limited to:

- Bills of Lading / Air Waybills

- Commercial invoices and packing lists

- Certificates, customs documents, and other regulatory paperwork

- Track shipments and provide regular, proactive status updates to customers

- Serve as the primary point of contact for customers regarding shipment progress, issues, and delivery timelines

- Coordinate with overseas agents, carriers, warehouses, truckers, and customs brokers

- Ensure compliance with international trade regulations, company procedures, and customer requirements

- Identify and resolve shipment delays, discrepancies, or documentation issues.

- Maintain accurate records in the logistics management system

- Communicate and collaborate with internal teams to ensure accurate and quality level of customer service





- Support billing accuracy by verifying shipment details and charges

- Continuously look for opportunities to improve operational efficiency and customer satisfaction

- Other work as required to support client shipments, as directed my Logistics Operations Manager

Qualifications & Skills

Excellent Communication Skills : Strong communication skills are essential for effective coordination between internal teams, suppliers, and customers.

Proactive Problem-Solving : Ability to anticipate and address potential issues before they escalate, ensuring smooth operations in a fast-paced environment.

Detail-Oriented : A keen eye for detail to ensure accuracy in coordinating logistics, purchase orders, and resolving/preventing customer issues.

Team Player : A team-oriented mindset, as you'll be working closely with various teams to achieve common goals.

Education Background :Post-secondary education in supply chain management/ international Trading/ Business Administration, or equivalent experience

Technical Aptitude : Proficiency in using logistics software, accurate data entry, and Microsoft Office (Excel, Outlook, Word)

This position is a contract position to cover a 12-month maternity leave, with a possibility to extend to 18-month contract based on business growth and team performance.

Job Types : Full-time, Fixed term contract Contract length: 12 months

Pay: From $45,000.00 per year
