The prospect

Western Dispatch is looking for a practical, detail-oriented Junior Accountant to support customer billing, accounts payable, reconciliations, payroll-related inquiries, month-end preparation and finance improvement projects. This position is suited to someone who understands the fundamentals of accounting, enjoys investigating discrepancies, and wants to grow under the guidance of an experienced Controller.

This is not a narrow data-entry position. The successful candidate will work with financial records, operational information, customer requirements and internal teams to make sure transactions are complete, supported, accurately recorded and resolved on time. The role also provides exposure to reporting, process documentation, controls and project-based work as the Finance function develops.

Reporting relationship

The Junior Accountant reports to the Controller and works closely with Finance, Operations, Dispatch, customers, vendors and drivers.

Key responsibilities

Customer billing and accounts receivable support

· Prepare and submit customer invoices accurately and within required timelines.

· Handle invoice corrections, rebills, credit notes and supporting documentation.

· Coordinate with Operations and Dispatch to obtain missing order, rate, proof-of-delivery or billing information.

· Investigate customer invoice questions, rejected invoices and billing disputes, escalating approval items when required.

· Support customer-specific billing formats, portals, spreadsheets and reporting requirements.

· Assist with payment application, account follow-up and accounts-receivable reporting as assigned.

Accounts payable

· Review and enter vendor invoices and payables.

· Verify invoice details, account coding, approvals and supporting documents before entry.

· Investigate duplicate invoices, missing invoices, rate differences, unsupported charges and other discrepancies.

· Follow up with vendors and internal departments to obtain missing information or resolve issues.

· Maintain organized support for payable entries, adjustments and payment preparation.

Reconciliations and accounting support

· Complete order-entry, customer-specific and other assigned reconciliations between operational and accounting records.

· Investigate differences and coordinate transaction corrections with the appropriate owner.

· Prepare account reconciliations, working papers,

schedules and supporting documentation for Controller review.

· Assist with deposits, journal-entry support, month-end preparation and year-end information requests.

· Maintain clear records showing the source, review status and resolution of discrepancies.

Driver payroll and document support

· Respond to routine driver pay inquiries and investigate discrepancies using dispatch, payroll and supporting records.

· Prepare or support corrections and maintain appropriate documentation.

· Escalate items requiring payroll processing, approval or policy interpretation.

· Assist with maintaining driver, vendor and related finance documentation where assigned.

Projects, reporting and process improvement

· Assist the Controller with finance projects, data cleanup, reporting improvements, system changes and documentation initiatives.

· Update Excel-based trackers, schedules, customer reports and internal management reports.

· Document recurring responsibilities, deadlines, systems, controls and backup procedures in clear SOPs.

· Identify repeat errors, missing information and inefficient handoffs, and help implement practical improvements.

· Participate in cross-training so critical billing and accounting work has reliable backup coverage.

Required qualifications

· Diploma or degree in accounting, finance, business administration or a related field, or equivalent relevant experience.

· At least one year of practical accounting, bookkeeping, billing, accounts payable, reconciliation or project-accounting experience.

· Working knowledge of debits and credits, account coding, supporting documentation and basic reconciliations.

· Strong Microsoft Excel skills, including formulas, lookups, filtering, data organization and reconciliation work.

· Ability to investigate discrepancies methodically and follow issues through to resolution.

· Clear written and verbal communication with customers, vendors and internal teams.

· Strong organization, accuracy,

confidentiality and ability to manage recurring deadlines.

Preferred qualifications

· Experience with Sage 50, Sage Intacct or another accounting system.

· Experience in transportation, logistics, distribution, construction, project accounting or another transaction-heavy operating environment.

· Experience working with customer billing portals, proof-of-delivery records, freight documents or client-specific invoicing requirements.

· Experience preparing month-end schedules, reconciliations or management-reporting support.

The person we are looking for

· Takes ownership of assigned work and communicates early when information or approvals are missing.

· Checks source information rather than forcing transactions through to meet a deadline.

· Enjoys solving discrepancies and understanding why records do not agree.

· Can move between recurring accounting work and project-based assignments without losing accuracy.

· Looks for practical ways to make work more reliable, documented and repeatable.

What success looks like

· Invoices and payables are accurate, supported and completed on schedule.

· Discrepancies are investigated promptly, documented clearly and resolved with the correct owner.

· Reconciliations and month-end support are complete and ready for Controller review.

· Customers, vendors, drivers and internal departments receive clear and timely responses.

· Recurring work has documented procedures and backup coverage.

· The employee steadily takes ownership of more complex accounting and finance-project work as capability grows.

· Exposure to billing, reconciliations, month-end, controls, reporting and finance projects
