Location: Office-Based & On-Field Hybrid
Position Type: Full-Time, Salaried
Compensation: $45,000 – $65,000 per annum
Benefits: Comprehensive benefits package available after 3 months of employment
Schedule: Flexible schedule; requires availability for evenings, weekends, and holidays to align with league schedules.

About Us

We are a fast-paced, rapidly growing sports organization dedicated to delivering top-tier athletic experiences for both youth and adult players. We are looking for an independent, self-starting League Administrator & Lead Sports Convenor to anchor our operations. If you are passionate about sports culture, thrive under pressure, and possess exceptional financial and organizational skills, we want you on our team.

Position Overview

This is a high-impact, hybrid role divided between on-field leadership and business administration. You will serve as both a hands-on member and the primary leader of our match-day operations team—actively working fields while managing, mentoring, and setting expectations for our team of field convenors across all leagues. Concurrently, you will drive our back-end business engine (bookkeeping, administrative coordination, and customer service) from our office hubs and field locations.

Core Responsibilities

1. On-Field Leadership & League Governance

- Act as an active, hands-on member and the primary leader of the on-field team, working directly on the fields while overseeing and setting clear operational expectations for match-day convenors across all youth and adult leagues.
- Liaise directly with Youth and Adult League Managers to ensure consistent match-day execution, schedule compliance, and field safety across the entire organization.
- Serve on the Discipline Committee, reviewing incident reports submitted by the convenor team, issuing rulings on code of conduct violations,

and maintaining league integrity.

2. Bookkeeping & Financial Management

- Accurately enter and track league expenses and revenue on a strict, predetermined schedule.
- Process, track, and coordinate payment of corporate bills and vendor invoices on time.
- Monitor team payments, manage aging accounts, and actively follow up on outstanding balances.
- Perform regular reconciliations to ensure financial accuracy.
- Track, monitor, and report on program-specific budgets.
- Assist in the processing and administration of staff and referee payroll.

3. Administrative Coordination & Business Operations

- Ensure internal company heads submit all required revenue and expense documentation on schedule; proactively follow up on and flag missing or incomplete submissions.
- Responding to coaches, parents, and teams regarding league questions, schedules, rules, and complaints.
- Collecting outstanding payments, sending invoices, tracking payments, and following up with teams.
- Reviewing incidents, communicating suspensions and disciplinary decisions, and keeping records.
- Managing rosters, checking player eligibility, organizing Google Drive folders, verifying player IDs, adding players, and communicating with teams.
- Tracking hours, calculating payments, and sending payments to convenors.
- Assisting with registrations, payments, rosters, and team communication.
- Sending reminders and announcements regarding schedules, rules, deadlines, playoffs, and other updates.
- Keeping records organized, updating spreadsheets,

and assisting with daily league operations.
- Maintain a highly organized, consistent filing system so records are easy to locate.
- Support month-end close processes by preparing, organizing, and delivering clean financial documentation to our external accounting team.
- Post upcoming leagues, manage timelines, and track player/team registrations.
- Manage day-to-day inquiries and provide exceptional customer service to teams, players, and parents via email and phone.
- Actively participate in weekly staff operational meetings.

Qualifications & Requirements

- Leadership & Soccer Experience: Proven leadership or management experience paired with a strong background working or playing within youth and/or adult competitive soccer environments. Candidates must be eager to work directly on the field as a peer and leader to the convenor team.
- Financial Proficiency: Strong foundational knowledge of basic bookkeeping principles (reconciliations, expense tracking, accounts receivable).
- Software Skills: High proficiency in MicrosoftExcel, Word, managing shred drives, professional email management, and comfort adapting to digital LeagueManagementSoftware.
- Independence: A proven self-starter who can work efficiently with minimal supervision in a fast-paced environment.
- Flexibility: Absolute willingness to work non-traditional hours (evenings, weekends, holidays) based on the seasonal sports calendar.
- Mobility: Ability to comfortably commute to various office and field locations within our network to work shifts and support the convenor team.
