Ohlmann & Associates
Kelowna
Ohlmann & Associates is a long-standing accountancy practice focusing on Businesses, Individuals and Estates.
We are looking for someone who is comfortable with people, likes learning and is prepared to work harder through our busy season (January - June) but would like to enjoy the Okanagan lifestyle more in the latter part of the year (including the potential to take additional time off during the Summer/Fall)!
We seek a vibrant, hard-working, versatile, problem solving, individual with experience in administrative office duties to join our team.
If that candidate has personal taxation knowledge and experience OR bookkeeping experience or if the candidate is prepared to learn and develop into these skills we want to know about it (and what attracts them to such work). However, the primary focus of this job initially would be administrative work (moving into assisting with the process of preparing personal tax returns in the busy tax season).
This position is part time, with a emphasis during personal tax season. The Firm is extremely busy February - June and wide availability during this time is an absolute requirement (this includes Spring Break and is not flexible on requiring availability at that time unfortunately). HOWEVER, the remainder of the year requires considerably less work and flexibility in designing a mutually beneficial schedule is possible for the right, committed individual.
Hours in January-June are volume dependent and will range from 15-40+ hours per week based on business fluctuation and the successful applicant's range of skills. Compensated overtime (especially in the months of March and April) can often be required and having the availability to work it is an expectations and requirement of the role. Hours during the rest of the year are likely to be approximately 15-25 hours per week (with lots of flexibility for limited work in July-October for those who want to focus more on local summers or family at that time).
We are looking for someone interested in growing into this administrative role and hopefully embracing ownership and accountability of it for the Firm over time- as well as having a commitment to contributing more to the service work we provide clients as their skills and our needs grow. Academic support can be earned in this position.
The successful candidate will work closely with the Firm's Client Manager and the Owner/Principal, is expected to have a wide range of responsibilities, diverse skills, and a genuine desire to learn and develop further.
In addition to performing office secretarial and administrative duties, we are hopeful that the teammate will assist with operational planning, client relationship management, marketing activities, as well as (eventually) bookkeeping and tax return preparation. Any computer troubleshooting, I.T. Management or related skills should also be highlighted (with examples if possible). Desire to grow in these areas would also receive favorable attention.
Duties and responsibilities (over time) will include but are not limited to:
- Answering phones, greeting clients, and corresponding with various parties
- Assembling/ processing client files and maintaining their storage within the office (physically and digitally- but increasingly the latter)
- Support and management of various organizational tools, systems and communications
- Managing filings and correspondence with Canada Revenue Agency
- Light housekeeping duties
- Ordering of supplies and managing their inventory
- Typing, dictation, and schedule management
- Proofreading
- Bookkeeping and basic file preparation in various accounting software packages (eventually, not initially)
- Tax preparation and/or support activities (eventually, not initially)
- Identifying additional practice issues and needs to assist the owner,
and make the office environment as productive and efficient as possible.
Skills that will make a candidate successful include:
- Communication skills (spoken and written) that are highly professional, clear and effective
- Passion for learning
- Excellent eye for detail
- Expert level organizational abilities and ability to follow procedures and direction
- Ability and tendency towards documentation of activities and processes
- Wide computer software familiarity (Microsoft Office, Caseware products, Sage (Simply Accounting), QuickBooks, Profile, Jazz-It, Social Media applications etc.)
- Intermediate to advanced typing speed (speed may be tested on this)
- Unquestionable professionalism, a friendly demeanor and strong customer service skills
- Exemplary work ethic and high capacity for managing stress in busy periods
- Strong, honest and respectful communication skills
- Creativity and flexibility in approaching daily duties and solving issues that arise
- Demonstrated history of successful learning both on the job and in academic settings
- The ability to regularly fluctuate between tasks (both independent and team oriented)
- Sense of humor
- The ability to be a nerd- we are accountants and we believe what we do is genuinely important and meaningful work
This is an prospect for a unique individual to become an essential asset and be supported in a long-term professional relationship where they can grow and develop, as they assist the practice meeting its goals.
Thank you for reading and considering all that is involved and available with this position. If you believe you might be the team member we are seeking, please submit your resume and any covering letter you wish to supply, as well as any academic transcripts relevant to presenting you are the best candidate. If you have salary expectations or suggestions, please supply those as well. We thank all applicants, but only short-listed candidates will be contacted.
