Majco Trucking is seeking a reliable, organized, and detail-oriented Dispatch Coordinator to support our daily transportation operations.

The successful candidate will be responsible for order entry, shipment coordination, driver communication, customer service, and ensuring that all transportation activities are conducted safely, efficiently, and in compliance with company policies and applicable regulations.

Key Responsibilities

1. Order Entry & Shipment Management

- Accurately enter customer orders into the transportation management system (TMS).
- Review shipment details, including pickup and delivery locations, freight dimensions, weights, equipment requirements, and special instructions.
- Schedule and coordinate pickups and deliveries.
- Maintain accurate shipment records and update order statuses throughout the transportation process.
- Ensure all required shipping documents, including bills of lading (BOLs) and proof of delivery (PODs), are received and properly recorded.
- Identify and resolve discrepancies in shipment information before dispatching equipment.

2. Customer Communication & Service

- Serve as a primary point of contact for customers regarding shipment status, scheduling, and delivery updates.
- Provide timely, accurate, and skilled communication.
- Proactively notify customers of delays, service disruptions, or changes to delivery schedules.
- Respond promptly to customer inquiries and concerns.
- Work collaboratively with customers to resolve service issues and maintain positive working relationships.




- Ensure customer expectations are clearly communicated to drivers and operations personnel.
- Assign shipments to company drivers and owner-operators based on equipment availability, location, capacity, and service requirements.
- Plan and coordinate efficient routes to maximize equipment utilization and minimize unnecessary mileage.
- Monitor shipments throughout the day to ensure timely pickups and deliveries.
- Maintain regular communication with drivers regarding assignments, delays, and operational concerns.
- Coordinate LTL, FTL, reefer, flatbed, and expedited shipments as required.
- Assist with managing daily equipment availability and operational scheduling.

4. Safety & Regulatory Compliance

- Safety and compliance are a top priority at Majco Trucking.
- Ensure dispatch decisions comply with applicable Ontario and Canadian transportation regulations.
- Monitor driver Hours of Service (HOS) and ensure assignments can be completed within legal driving and on-duty limits.
- Verify that drivers and equipment are appropriately qualified, available, and suitable for assigned shipments.
- Monitor vehicle inspection requirements and ensure reported defects or safety concerns are escalated immediately.
- Ensure shipments comply with applicable vehicle weight, dimension, load securement,



and equipment requirements.
- Communicate safety concerns promptly to management.
- Never pressure or instruct drivers to operate equipment in an unsafe manner or violate regulatory requirements.
- Support compliance with CVOR requirements and company safety policies.
- Maintain accurate records and documentation to support operational compliance.
- Promote a safety-first culture where concerns are reported, addressed, and documented.

5. Administrative & Operational Support

- Maintain accurate daily dispatch records and shipment documentation.
- Monitor outstanding deliveries, missing paperwork, and unresolved service issues.
- Assist with reviewing detention, waiting time, and additional service charges.
- Coordinate with management to improve operational efficiency and customer satisfaction.
- Support continuous improvement initiatives related to dispatch procedures, safety, and service quality.

Qualifications & Requirements

- Previous experience in transportation dispatch, logistics, or trucking operations preferred.
- Strong understanding of LTL and FTL transportation operations.
- Familiarity with Ontario transportation regulations, CVOR, and driver Hours of Service requirements.
- Excellent written and verbal English communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple shipments, drivers, and customer requests simultaneously.
- Comfortable using transportation management systems, email, Microsoft Excel, and other office software.
- Strong problem-solving skills and the ability to make sound decisions under pressure.
