About Hive Armor

Hive Armor is a growing, innovation-focused company operating across Canada and the United States. We work at the intersection of agriculture, manufacturing, research and technology, and we are actively building the systems, processes and tools needed to scale.

Position Purpose The Executive Assistant is the CEO’s operational right hand.

This role combines high-level executive support with process improvement, AI, automation and internal systems development. The successful candidate will protect the CEO’s time, keep priorities moving, improve how work gets done and help turn recurring activities into clear processes, automations and practical tools within Klarify.

This is a hands-on role for someone who is highly organized, technologically curious, confident working across departments and comfortable in a fast-moving environment.

Key Responsibilities

Executive Support

- Manage the CEO’s calendar, inbox, travel, meetings and changing priorities.
- Prepare agendas, briefings, presentations, correspondence and priority summaries.
- Capture decisions, commitments and delegated actions; assign owners and deadlines and follow through to completion.
- Maintain confidentiality across personal, personnel, legal, financial and commercial matters.

Project and Communication Coordination

- Maintain a central record of CEO decisions, follow-ups, deadlines and outstanding items.
- Coordinate leadership, customer, partner and cross-functional meetings.
- Turn conversations, notes and voice messages into clear tasks, documents and workflows.
- Follow up on missing information and keep work moving across departments.
- Escalate issues early with practical options, risks and a recommended course of action.

Klarify and Process Improvement

- Act as the day-to-day coordinator and power user for Wardell/Klarify.
- Work with department leaders to create and maintain SOPs, checklists, forms, approvals and training materials.

- Identify duplicated effort, unclear handoffs, recurring failures and opportunities to simplify work.
- Maintain document ownership, review dates, version control and accountability.
- Build simple dashboards and reporting tools to improve visibility.

AI, Automation and Internal Tools

- Use AI for research, drafting, meeting summaries, document analysis, workflow design and executive preparation.
- Identify repetitive or error-prone work that can be automated.
- Build or coordinate simple forms, dashboards, workflows, integrations and internal applications using low-code/no-code and AI-assisted tools.
- Test new tools with users, document processes, train employees and improve solutions based on results.
- Ensure appropriate confidentiality, access controls, verification and human review.

Business Support

- Turn the CEO’s ideas into structured initiatives, milestones, owners and next actions.
- Research options and prepare concise, decision-ready comparisons.
- Support onboarding, special projects and business-scaling initiatives.
- Coordinate vendors, advisors and technology partners as required.

Required Experience and Capabilities

- Experience supporting a CEO, owner or senior executive in a rapid-moving organization.
- Excellent organization, written communication, discretion, judgment and follow-through.
- Strong proficiency with all Microsoft Office tools.
- Strong calendar, email, meeting, document and travel coordination skills.
- Comfortable using modern AI tools in real business workflows.

- Experience with workflow automation, low-code/no-code tools, dashboards, databases or integrations is strongly preferred.
- Ability to learn and administer Klarify and Wardell systems.
- Comfortable working across multiple companies, departments, locations and changing priorities.
- Availability for a full-time workday aligned with Mountain Time, with flexibility for genuinely urgent matters.

Personal Attributes Proactive, practical, technologically curious, calm under pressure, accountable and business-minded.

Success in the Role

Success will be measured by fewer missed commitments, better follow-through, improved visibility, more efficient processes and measurable time savings from AI, automation and internal tools.

The goal is to free more of the CEO’s time for high-value decisions, relationships and growth.

First 90 Days In the first 90 days, the Executive Assistant will learn the businesses and CEO’s working style, stabilize calendar and follow-up systems, establish a clear action-tracking process, identify priority process improvements and deliver at least one useful automation or AI-enabled internal tool.

Working Relationship The relationship with the CEO is built on trust, candour, speed and disciplined follow-through.

The Executive Assistant is expected to challenge constructively, protect priorities and bring recommendations rather than simply relay problems.

Operating principle: never escalate a problem without also bringing a recommendation.
