Our Company

Pillexa is a Canadian health technology group that builds, launches and runs direct to consumer telehealth brands. Our proprietary platform covers what a modern health brand needs: connecting patients with licensed physicians, prescriptions, payments, marketing and customer experience.

What we do across the group:

- Build and launch brands. We create telehealth brands from the ground up, hold their IP, and license them to operating companies. Today that spans emergency medication kits, prescription skincare and men's health, with more in development.
- Run the platform and services. Our team provides the technology, marketing and development that keep each brand growing after launch.
- Fulfil through our partner pharmacy. Our affiliated pharmacy dispenses and ships prescriptions for our own brands and for outside telehealth companies, including insurance billing in Canada.

We sell in Canada and the US, and we're growing on three fronts: new brands, new markets and new fulfilment partners. Each one adds entities, agreements and revenue streams, which is why finance sits at the centre of how we work.

How we work. We sit where technology meets healthcare, and we like breaking new ground in direct to consumer health. We experiment, move quickly and change course when the numbers say so. We're expanding into new countries, and as we grow, the people who build the foundations grow into the top roles.

The Role

We're hiring our first in house Controller to own the numbers across the Pillexa group, from the books to the decisions they drive. You'll report directly to our CEO, with a dotted line to our Head of Pharmacy and Medicine, and work with both from day one.

The group runs as several companies: a holding company, a brand IP company, the Pillexa platform company, operating companies for each live brand, and a partner pharmacy that fulfils and invoices across the group. Money moves between them under licensing and service agreements. Today that system is run by outsourced bookkeeping, a fractional finance consultant and the founders. You'll own it end to end.

This is a hands on role, and you'll be the finance expert the whole company leans on. You'll close the books, run intercompany invoicing, keep us compliant, and tell us what each brand, channel and SKU earns. You'll set the targets our growth team works to, and work side by side with entrepreneurs who have built and scaled health companies before, so your numbers directly shape which brands we back and where we go next.

Success in the first year: every entity closes within 10 business days of month end, intercompany balances settle through invoices each month, filings go out on time, and leadership sees fully loaded CAC and contribution margin by channel without asking for it.

What You'll Own

Close and Reporting

- Run the monthly close for every entity in QuickBooks Online, including reconciliations and review of the bookkeeper's entries
- Produce P&Ls; by entity and a consolidated group view, broken down by brand, sales channel and SKU

- Prepare the year end package for our external tax accountant and manage the year end through to filing
- Run a monthly finance review with leadership: results against target, cash, and what needs a decision

Intercompany and Invoicing

- Own monthly intercompany invoicing under our licensing and service agreements, including royalty statements and recharges for brands in incubation
- Maintain the invoicing calculators and one written invoicing SOP that matches them
- Settle intercompany balances through invoices every month, not at year end
- Manage receivables from pharmacies, physicians and partners, physician payouts, and Stripe dispersals
- Oversee invoicing between our partner pharmacy and the brands

Compliance and Controls

- Keep the filing calendar for GST, PST, payroll remittances and corporate tax instalments, and make sure every filing and payment goes out on time
- Set approval controls for payables, payments and intercompany transfers
- Allocate payroll and shared costs to brands on a standing basis

Marketing Finance and Unit Economics

- Reconcile all marketing spend to brand and channel, including paid media, influencer payouts, promo code discounts, and whitelisting and partnership fees
- Publish fully loaded CAC, MER and contribution margin by channel and SKU, and churn and lifetime value for subscription brands
- Work with our growth lead to set monthly targets, and flag early when we are off track

Actual Targets

- Own actuals: monthly results by brand, channel and SKU that leadership can read and act on.
- Flag variances early and bring the numbers behind them, so leadership can decide what to change
- Grow into forecasting over time, with support from our financial modelling consultant

Partners and Team

- Direct our outsourced bookkeeping and decide what stays in house, what moves offshore, and what gets automated
- Work with our tax accountant, legal counsel and banks

What We Are Looking For

- CPA designation
- 10 or more years in accounting, ideally including 5 as a controller owning the month end close
- Experience with multiple entities: intercompany invoicing, consolidation, and agreements such as licensing or management fees
- Background in direct to consumer, e-commerce or subscription businesses, including Stripe payouts, promo codes and marketing spend attribution
- Solid QuickBooks Online and spreadsheet skills, and comfort using AI tools to speed up analysis
- Working knowledge of Canadian sales tax (GST and PST) and payroll remittances
- A builder: you write the SOP, set the calendar and fix the process, not only the entry
- Clear communication with non accountants, from founders to the growth team

Nice to Have

- Pharmacy, telehealth or healthcare experience, including insurance billing
- Experience supporting a US launch: USD revenue, US sales tax exposure, cross border structure
- Work in a venture studio, holding company or franchise model where brands license from a parent
- Experience managing an outsourced or offshore bookkeeping team
- Exposure to fundraising or investor reporting

Your First 90 Days

First 30 Days

- Working from our Surrey office, get to know the group of companies and how the venture studio's accounting (brand IP, licensing, incubation recharges) differs from operating company and pharmacy accounting
- Review current accounting processes with our outsourced team and agree 1 to 2 improvements, each with an owner and a completion date
- Publish a finance calendar covering every entity's close, GST and PST filings, payroll remittances and tax instalments
- Reconcile intercompany balances across all entities at the latest month end and document every difference

First 60 Days

- Deliver a close within 15 business days of month end, taking it over from our outsourced team, with a written close checklist
- Establish an intercompany process, with one SOP that matches our invoicing calculators, that supports a 10 business day close
- Publish the first monthly report of fully loaded CAC, MER and contribution margin by brand and channel, including promo codes and influencer payouts
- Implement the improvements agreed in your first 30 days

First 90 Days

- Close every entity within 10 business days of month end, with intercompany balances settled by invoice
- Present monthly actuals against target at a leadership finance review, using our existing financial models, with every major variance explained
- Develop a plan for how the finance team should be resourced and structured, with fractional outside contractors vs in-house team buildout

Where This Role Goes

You'd be joining at the moment the numbers start to matter most. We're launching new brands, growing in the US and adding fulfilment partners, and every one of those decisions will run through the systems you build.

Get the foundation right and this role grows with us: into leading finance for the whole group, building your own team, and sitting at the table when we decide which brands to scale, where to expand and how to fund it. We'd rather grow that leader from within than hire over them.

You'll work directly with founders who built one of Canada's leading online pharmacies, alongside a small team that moves fast and cares about getting healthcare right.

The Setup

- Location: In office at our Surrey office (15336 67 Ave) for the first 30 days, then hybrid
- Salary: $125,000 to $150,000/year, based on experience
- Reporting: to the CEO, with a dotted line to our Head of Pharmacy and Medicine
- Hours: Full time
- Perks: a flexible schedule after your first 30 days, a close knit team with a family culture and startup pace, office ping pong, and snacks and refreshments
