We’re looking for a detail-driven IRP / Prorate Administrator to manage our clients commercial fleet registration, licensing, and multi-jurisdictional compliance paperwork.

What You’ll Be Doing In this role, your main task will be taking care of our International Registration Plan (IRP) licensing and prorate accounts. You’ll work closely with Provincial licensing bodies and fleet managers to keep cab cards and plates up to date.

Here’s a snapshot of your day-to-day:

- IRP & Prorate Management: Prepare and submit annual IRP fleet renewals, fleet additions, weight upgrades, transfers, and deletions.
- Mileage & Distance Auditing: Collect, verify, and input distance/mileage reports across jurisdictions to ensure accurate prorate fee calculations.
- IFTA & Tax Support: Assist with IFTA (International Fuel Tax Agreement) tracking, fuel tax filings, and audit preparation alongside the safety and compliance team.
- Log Auditing & Compliance: Regularly audit driver Electronic Logging Device (ELD)



records and paper logbooks against fuel receipts, toll charges, and GPS tracking to ensure accuracy and compliance with Hours of Service (HOS) regulations.

What We’re Looking For

- Fleet Compliance Experience: Direct experience processing IRP prorate registrations, cab cards, and multi-jurisdictional licensing for commercial motor vehicles is an asset but not required.
- Software & Microsoft Savvy: High proficiency in Microsoft Excel and Word.
- Sharp Eye for Detail: Extreme accuracy when verifying VIN numbers, weights, and legal documentation.
- Strong Organization: Ability to track strict government renewal deadlines and manage high-volume paperwork.
- Positive Communication: Clear verbal and written skills for dealing directly with clients.

Pay: From $18.00 per hour Expected hours: 40.0 per week
