Remote Medical Office Administrative Assistant – Weekends & Casual

$19/hour | Work From Home | Part-Time | 12 Regular Hours/Week + Additional Opportunities

Hi there!

Do you enjoy working from home, skipping the daily commute, and saving money on gas or a transit pass?

Are you someone who loves keeping things organized, helping people, and checking things off your to-do list?

Maybe you're looking for a little extra income without committing to another full-time job. Or perhaps you simply enjoy having a predictable weekend schedule with the flexibility to pick up additional hours occasionally.

If that sounds like you, we might be a great match!

We're Grigore Counselling & Associates, a growing Canadian mental health practice with offices in Langley Township and Richmond, BC, providing counselling services across multiple provinces.

We're looking for a friendly, dependable, and detail-oriented Administrative Assistant to join our remote team.

You'll be one of the first people our clients speak with when reaching out for counselling. Your kindness, professionalism, and attention to detail can make a meaningful difference in someone's experience.

And the best part? You can do it all from the comfort of your own home!

Let's Talk About Your Schedule

We believe in clear expectations and respecting people's time.

Your regular weekly hours:

- Saturday: 1:30 PM – 5:00 PM (Pacific Time)
- Sunday: 8:30 AM – 5:00 PM (Pacific Time)
- Total: 12 regularly scheduled hours per week

Additional opportunities: Occasionally, we may offer weekday shifts when another team member is sick, on vacation, or requires additional coverage. We'd love someone who has some flexibility to help out when these opportunities arise, although additional shifts are not guaranteed.

This is a remote position, with preference given to applicants located in British Columbia's Lower Mainland.

Starting wage: $19/hour

What Would You Be Doing?

Nothing overly complicated, but everything you do matters!

Your main responsibilities will include:

- Answering incoming telephone calls with warmth, patience, and professionalism.
- Making outbound calls to prospective and existing clients. We believe a friendly conversation is often better than another email!
- Booking, rescheduling, and cancelling counselling appointments using Jane practice management software.
- Responding to client emails and appointment inquiries in a timely manner.

- Sending appointment confirmations, receipts, and other routine communications.
- Communicating scheduling changes and important updates to our therapists.
- Maintaining accurate client information and protecting confidentiality.
- Following established administrative procedures and clinic policies.
- Keeping track of outstanding tasks and ensuring they're completed or properly handed over to the next administrator.
- Assisting with basic direct billing or insurance-related administrative tasks, once trained.

We have an established administrative team, clear procedures, and people available to help when questions arise. Here's What We're Really Looking For

You're dependable.

If you say you'll be somewhere at a certain time, you're there. If something unexpected happens, you communicate promptly.

You genuinely enjoy speaking with people.

You're comfortable picking up the phone, making outbound calls, and helping someone feel welcomed and supported. You don't automatically choose email when a telephone conversation would be more effective.

You pay attention to the little things.

You double-check appointment dates, proofread your messages, and make sure the right information gets to the right person.

You finish what you start.

We love people who take ownership of their responsibilities. If you can't complete something during your shift, you make sure it's documented and handed over appropriately.

You're comfortable working independently.

You'll often be the only administrator working on weekends. You can stay organized, manage your workload, and recognize when to ask for assistance.

You're a team player.

You appreciate feedback, communicate respectfully, and understand that good teamwork sometimes means following an established process—even when you might personally do things differently.

You stay calm under pressure.

Our clients may occasionally be anxious, frustrated, or emotionally distressed. You can remain compassionate and skilled while following established procedures and knowing when to involve a clinician or appropriate crisis resource.

A Few Things That Would Be Wonderful (But Aren't Required!)

- Previous experience in medical office administration, counselling clinics, or healthcare.
- Familiarity with Jane practice management software.
- Experience with appointment scheduling and electronic health records.
- Knowledge of extended health insurance and direct billing.
- Previous telephone-based customer service experience.

Don't worry if you haven't used Jane before. We're happy to train the right person! You'll need a reliable computer, internet connection, and a private workspace suitable for handling confidential client information.

What You Won't Be Expected to Do

We're not hiring an Operations Manager.

You won't be responsible for running the clinic, managing therapists, creating policies, or overseeing marketing campaigns.

You'll have clear responsibilities, access to guidance, and established procedures to follow. Clinical concerns and decisions outside your scope will be escalated appropriately.

We want you to feel confident in your role—not overwhelmed by responsibilities you weren't hired to handle.

Why Join GCA?

Because we believe work should be meaningful, manageable, and enjoyable.

You'll have the opportunity to:

- Work remotely without commuting.
- Enjoy a consistent, predictable weekend schedule.
- Earn additional income through occasional extra shifts.
- Join a friendly and supportive team.
- Develop administrative skills in a growing healthcare organization.
- Make a meaningful difference by helping people access mental health services.
- Participate in team events such as dinners or community events.

We value professionalism, kindness, reliability, accountability, and a healthy sense of humour. Sound Like Your Kind of Job?

We'd love to hear from you!

Please send us your résumé along with a short introduction telling us:

- Why this position interests you.
- Whether you can reliably commit to the Saturday and Sunday schedule.
- What additional weekday availability you might have, if any.

And just for fun, please include the word "salamander" somewhere in your introduction so we know you've read the posting carefully. We look forward to meeting you!
