Summary

The Maintenance Shop Administrator provides essential support to the Shop Manager and the whole team by assisting with service writing, parts administration, invoicing, and general office and shop duties. This position plays a key role in ensuring that daily operations run efficiently and that maintenance tasks are properly documented, invoiced, and organized. They report to the Shop Manager and will execute these tasks to the highest quality standards in a professional, responsible, and timely manner, while contributing to positive morale, and customer satisfaction. They must possess a positive attitude with other team members and portray a professional business image by using matching work clothes.

Essential Duties and Responsibilities (other duties may also be assigned)

These are the most prominent functions, responsibilities, and aspects of the job: 1. Service Writing : Creating and manage service orders for maintenance tasks, ensuring all relevant details are accurately recorded and updated.

2. Parts Administration : Manage and organize parts inventory, ensuring the availability of necessary parts and materials for ongoing projects.

3. Work Order Closure : Close out completed work orders in the system, ensuring that all required documentation is complete and accurate.

4. Internal Invoicing :



Process internal invoices and coordinate with accounting to ensure timely and accurate billing for services rendered.

5. Office Maintenance : Maintain the cleanliness and organization of the office space, ensuring a tidy and efficient work workplace.

6. Grocery Shopping : Purchase groceries and office supplies as needed, ensuring the team has all necessary resources.

7. Errand Running : Run errands as required, such as picking up parts or materials from vendors, ensuring timely delivery to the shop.

8. Stocking and Organizing Parts : Assist with stocking parts, organizing inventory, and ensuring that materials are stored properly for easy access and tracking.

Working Conditions

- Full-time position, 50 hours per week (or longer) based on business needs.
- Primarily in the repair shop or office, with occasional onsite visits.
- Exposure to noise, dust, grease, and heavy machinery.
- Physical stamina to lift heavy tools and parts (50 lbs).
