The Valley Royals is hiring a part-time Club Manager to lead the club's day-to-day administration and operations from registration and scheduling to communications and financial coordination. You will work closely with our volunteer Board of Directors and coaches to keep the club running smoothly and you will be the face of the club for parents and athletes; the person people come to with questions, registrations, and everyday needs.

What you will do

- Registration and administration

– Manage season registrations start to finish: sign-ups, waitlists, capacity limits and confirmations and keep member records, waivers and BC Athletics registration requirements up to date.
– Serve as the club's single point of contact for parent and athlete questions, with clear response-time expectations so people are not left waiting.
– Keep schedules, registration steps, and general updates current and accurate across the club website and other communication channels.

- Facilities and scheduling

– Liaise and coordinate with the City of Abbotsford on facility bookings and permits.
– Coordinate practice and meet schedules with coaches, and communicate any changes to families promptly to avoid last-minute confusion.

- Merchandise and travel logistics

– Source, order, and manage inventory of club clothing and merchandise, and coordinate sales and distribution to members.
– Book travel and accommodations for coaches and teams for away meets and training camps, and coordinate related logistics.

- Financial support

– Manage day-to-day spending against the budget the Board sets, and keep costs on track. – Work alongside the Treasurer to provide the Board with regular, clear updates on the club's financial position.

- Board support

– Keep the Board informed on day-to-day operations between meetings so they have the visibility they need.
– Raise operational issues or risks that need Board-level discussion or a decision




– Support Board administrative needs such as meeting agendas, minutes, and follow-up on action items.

What We are looking for in a Club Manager

- Strong organizational skills and the ability to juggle multiple priorities while keeping accurate records.
- Comfortable working independently with limited day-to-day supervision from the volunteer Board.
- Explicit, professional written and verbal communication. You will be the primary point of contact for parents, athletes, and coaches.
- Strong problem-solving skills and good judgment about when to handle something directly versus referring an issue to the Board.
- Experience in an administrative, operations, or coordinator role with sport, nonprofit, or community organization experience as an asset.
- Experience managing a budget and reporting on finances to a Board is a plus.
- Experience supporting fundraising campaigns or sponsorship administration is a plus.
- A strong understanding of youth development and experience working with young athletes and their families.
- Track and field or athletics experience is an asset, but not required.

Details

- Type: Part-time, contract
- Hours: 16–20 hours/week
- Compensation: $2,400–$2,800/month, paid as a flat fee commensurate with experience.
- Location: Abbotsford, BC. In-person presence required for track meets, cross country and other Club supported competitions, facility needs, and meeting families; some admin work may be flexible.
- Reports to: Valley Royals Board of Directors (Hiring Committee).
- Compliance: Requires a clear Criminal Record Check, completion of Safe Sport training and adherence to the Valley Royals Code of Conduct and BC Athletics policies.
