OUR CLIENT:

Founded in 1987, the Canadian Academy of Engineering (CAE) is a national, non-profit, bilingual organization made up of many of Canada’s most accomplished engineers. Our Fellows are elected by their peers for distinguished achievement, and together they provide independent, expert advice on issues that matter to Canada’s future. Behind every conference, recent Fellow, scholarship and report is a small, dedicated team — and we’ve created this brand-new role to help lead it.

WHY YOU’LL LOVE THIS ROLE

▪ Real ownership. You’ll run CAE’s day-to-day operations and flagship events, with the freedom to decide how the work gets done.

▪ Variety every week. Events, writing, fundraising, governance and team mentorship — no two days look the same.

▪ Meaningful connections. Work alongside leading engineers, volunteer committees and a national Board.

▪ Flexibility. A hybrid schedule with flexible hours that respects your life outside work.

WHAT YOU’LL DO

Deliver memorable conferences and events

▪ Lead CAE conferences and events from early planning through to follow-up, including venues, contracts, speakers, travel, budgets and timelines.

▪ Support the Conference Committee and bring in and manage external event planners when needed.

Tell CAE’s story and support fundraising

▪ Write, compose and assemble newsletters and the bilingual Info Flash for Fellows and stakeholders.

▪ Create and distribute fundraising emails that inspire support for CAE’s work.

▪ Keep the website and social media current, and coordinate translation and proofreading so English and French content is polished and on time.

Support committees and governance

▪ Sit in on committee meetings to gather information and prepare clear, useful reports.

▪ Coordinate AGM preparations, Board and committee minutes, and annual charitable and corporate filings.

Manage member programs

▪ Oversee the Fellowship, Scholarship and membership programs, including records,

correspondence, certificates, pins and committee review processes.

Lead the team and keep operations on track

▪ Oversee and monitor the Administrative Assistant, and step in when deadlines are at risk.

▪ Manage vendors and suppliers, and work with the bookkeeper on invoicing, dues and payments.

▪ Spot problems early, improve processes and decide what to handle in-house, delegate or outsource.

WHAT YOU BRING

▪ Fluency in English and French: you can read, write and speak confidently in both official languages.

▪ Several years of experience in operations, administration, event coordination or a similar role with real responsibility.

▪ Experience overseeing and guiding the work of others.

▪ Excellent writing skills — you can produce a newsletter, a fundraising appeal or a committee report with equal confidence.

▪ Strong organization and the ability to juggle several priorities and deadlines without losing track of the details.

▪ Initiative and sound judgment: you anticipate needs, solve problems and see work through to the finish.

▪ Confident in managing external suppliers, contracts and costs.

▪ Strong computer skills and the ability to learn new systems and databases quickly.

Nice to have

▪ Experience with a professional association, charity, Board or volunteer committees.

▪ Experience with conferences, fundraising campaigns, email marketing tools, websites or membership databases.
