Job Overview

We are looking for a customer-focused, organized Service Advisor / Writer to join our team. As the vital link between our customers and our service technicians, you will set the standard for customer service from the moment a machine enters our yard to the final key hand-off.

Reporting directly to the Service Manager, you will manage daily repair orders, schedule work, communicate repair status to customers, and ensure a seamless, efficient shop floor operation.

Key Responsibilities

- Customer Consultation: Greet customers warmly, listen to their machine concerns, perform initial inspections, and accurately write up repair orders (ROs).
- Communication & Liaison: Serve as the main point of contact for clients, delivering clear repair quotes, explaining technician findings, obtaining approvals, and providing regular updates.
- Scheduling & Workflow: Coordinate with the Service Manager and technicians to schedule maintenance, repairs, and recall work efficiently.
- Parts & Warranty Coordination: Work closely with the Parts Department to ensure necessary components are staged for technicians, and assist with processing warranty claims when required.
- Invoice & Final Hand-off: Review completed repair orders for accuracy, process payments,



and walk customers through their final invoice to build trust and long-term retention.
- Shop Administration: Maintain clean, accurate digital records in the dealership management system (DMS) and ensure customer satisfaction stays high.

Qualifications & Skills

- Experience: 1–3 years of experience as a Service Advisor / Writer in a powersports, automotive, marine, or heavy equipment environment.
- Powersports Passion: Solid general knowledge of motorcycles, ATVs, UTVs, snowmobiles, or personal watercraft is strongly preferred.
- Communication: Exceptional verbal and written communication skills with a natural ability to build rapport with riders and colleagues alike.
- Organization: Highly organized with strong multi-tasking skills under peak seasonal workloads.
- Tech-Savvy: Comfortable using computer systems, dealership management software, and electronic invoicing.
- Requirements: Valid Class 5 Driver’s License (Class 6 motorcycle endorsement is a strong asset).
