Sales Department Administrator
Position Overview
We are seeking an organized, high-energy Sales Department Administrator to keep our dealership running smoothly. In this role, you will handle everything from behind-the-scenes inventory stocking to customer-facing digital marketing and event execution. The ideal candidate loves a fast-paced environment, has a great eye for detail, and isn't afraid to roll up their sleeves—whether that means processing manufacturer co-op claims or cutting and applying registration stickers to a brand-recent Sea-Doo.
Key Responsibilities

· Registrations: Register units with manufactures and apply the correct programs.
· Unit Prep: Cut custom registration vinyl and neatly apply tracking/dealership stickers and decals onto Sea-Doos and Pontoons. Don’t worry, we will show you how to do it.
Digital & Marketing Coordination

· Social Media Operations: Plan, create, and schedule engaging posts across various social platforms to highlight new units, sales, and some fun stuff around the dealership.
· Co-op Claims Management: Track marketing spending and claiming, gather proof of performance, and submit timely co-op advertising claims to manufacturers for reimbursement.
Licensing & Run Errands
· Vehicle Licensing: Prepare, review, and process all licensing and registration paperwork for sold units, includes driving to local registry/licensing offices physically to submit paperwork, pick up plates, and retrieve registration documents.
Event Organization
· Dealership Events: Plan, organize, and execute on-site and off-site customer events, demo days, and may include local shows.
· Logistics: Coordinate event setups, promotional materials. Not only for events but internally for the dealership.
General Administration
· Team Support: Support the sales team with administrative tasks, paperwork flow, filing, and data entry, including work orders to prepare units for customers.
· Organization: Maintain a clean, organized, and professional workstation and digital filing system.
Qualifications & Skills
· Experience: 1–2 years of experience in an administrative, dealership coordinator, or marketing assistant role (experience in automotive, marine, or power sports is a major asset).
· Driver’s License: Valid driver’s license with a clean driving record (required for licensing runs).
· Technical Skills: Familiarity with social media platforms (Instagram, Facebook, TikTok) and some basic ability using Excel and Word.
· Detail-Oriented: Exceptional detail required for licensing paperwork, inventory data entry, and physical decal placement.
· Hands-on Ability: Working around power sports equipment. Comfortable walking in a shop environment.
· Time Management: Ability to self-manage a variety of daily tasks and prioritize time-sensitive errands.
Work Environment & Physical Demands
· Setting: This is a dynamic role splitting time between a professional office desk, the showroom floor, and out on the road for licensing runs.
· Physical Demands: Ability to occasionally lift up to 30 lbs and spend time on your feet while being at or setting up events.
Pay: $20.00-$25.00 per hour
Expected hours: 40.0 per week
